Responsibilities:
Office Administration:
Manage day-to-day office operations and ensure a well-organized and productive work environment.
Tax Department Support:
Provide administrative support to tax professionals, including managing appointments, client communications, and document preparation.
Financial Management:
Assist in managing department budgets, expenses, and billing clients.
Client Service:
Handle inquiries from clients and maintain excellent client relationships through effective communication.
Document Management:
Organize and maintain digital and physical records, including tax documents, contracts, and client files.
Staff Supervision:
Oversee administrative staff, providing guidance and training as needed.
Vendor Relations:
Manage relationships with vendors and service providers, ensuring timely payments and quality services.
Compliance:
Assist in maintaining compliance with tax regulations, including recordkeeping and filing requirements.
Technology Integration:
Identify and implement technology solutions to improve department efficiency.
Qualifications:
- Bachelor's degree in Business Administration, Accounting, or a related field preferred
- Proven experience as an Office Manager, preferably in a tax or accounting environment
- Strong knowledge of tax processes and regulations
- Proficient in office software and accounting software (e.g., QuickBooks, Quickbooks Online, Adobe Acrobat, Lacerte, Microsoft Office, Google Suite).
- Excellent organizational and multitasking abilities
- Strong communication and interpersonal skills
- Detail-oriented with a focus on accuracy
- Ability to prioritize tasks and meet deadlines
- Ability to maintain confidentiality and handle sensitive information
