Job Description

Overview Join our dynamic team as a Construction Restoration Accounting Office Manager, where your leadership and organizational skills will drive the efficiency of our administrative and financial operations. In this pivotal role, you will oversee office management, coordinate accounting processes, and support project teams to ensure seamless workflow. Your energetic approach and attention to detail will help us deliver exceptional restoration services while maintaining a positive and productive office environment. Duties Manage daily office operations, including clerical tasks, filing, front desk responsibilities, and multi-line phone systems to ensure smooth communication flow. Oversee bookkeeping activities using QuickBooks, including invoicing, expense tracking, payroll processing, and financial record maintenance. Supervise administrative staff and coordinate training & development initiatives to foster a motivated and skilled team. Handle vendor management by negotiating contracts, managing relationships, and ensuring timely delivery of supplies and services. Assist with budgeting efforts by monitoring expenses, preparing financial reports, and supporting project cost control measures. Coordinate schedule management for project timelines, meetings, and team calendars to optimize productivity. Support human resources functions such as onboarding new employees, managing payroll records, and ensuring compliance with company policies. Organize event planning for team meetings or company functions to promote engagement and collaboration. Maintain office supplies inventory and ensure all administrative tools are operational and up-to-date. Qualifications Proven supervising experience with strong leadership skills in an office or administrative environment. Proficiency in QuickBooks accounting software; experience with bookkeeping and payroll is essential. Excellent communication skills with the ability to manage multiple tasks efficiently while maintaining professionalism. Strong organizational skills with attention to detail in filing, calendar management, and document preparation. Experience in office management within a construction or medical office setting is preferred but not required. Knowledge of vendor management, budgeting processes, and human resources practices. Ability to handle front desk duties including phone etiquette and multi-line phone systems confidently. Demonstrated ability to train staff effectively and support team development initiatives.
