This role blends hands-on accounting responsibilities with ownership of core financial processes and administrative workflows. This role will serve as a key partner to the Executive Director and cross-functional teams, ensuring strong financial controls, reliable reporting, and well-functioning systems that support the organization's continued growth. The ideal candidate brings a solid accounting foundation, a process-oriented mindset, and the ability to operate both tactically and strategically in a mission-driven, fast-paced environment. Key Responsibilities Accounting & Financial Oversight Oversee and manage day-to-day accounting operations, including accounts payable, receivable, payroll, and general ledger activity Maintain accurate, complete, and well-documented financial records in accordance with nonprofit accounting standards and internal policies Lead monthly close activities, including reconciliations, review of transactions, and preparation of supporting schedules Ensure the integrity of financial data and proactively identify and resolve discrepancies Cash Management & Disbursements Oversee accounts payable and cash disbursement processes, ensuring timely and accurate processing with appropriate approvals Maintain strong internal controls around cash handling and payment workflows Monitor cash activity and support visibility into available resources for leadership Payroll & Compliance Coordination Manage payroll processing through the organization's payroll provider, ensuring accuracy and timeliness Coordinate with third-party providers to ensure compliance with payroll tax filings and related requirements Oversee timely remittance of retirement plan contributions and payroll-related obligations Support compliance with applicable employment and reporting regulations Grants, Revenue & Financial Coordination Oversee recording and tracking of donations, grants, and program revenue, ensuring consistency with supporting documentation Maintain accurate tracking of financial activity by program and funding source Partner with Development and Program teams to ensure alignment between financial reporting and operational activity Support preparation of grant invoices and reporting deliverables Reporting & Audit Management Support the preparation of internal financial reports Maintain readiness for external reporting requirements, including the annual audit and Form 990 Coordinate audit and external accountant requests, ensuring timely and well-organized responses Contribute to improving reporting clarity and usefulness for leadership decision-making Operations & Process Management Partner with the Executive Director to strengthen financial and administrative infrastructure across the organization Evaluate existing workflows and identify opportunities to improve efficiency, accuracy, and scalability Lead implementation of process improvements across accounting, payroll, and vendor management Maintain and enhance documentation of key financial and operational procedures to support internal controls and continuity Support coordination across key systems (accounting, payroll, donor database) to ensure data integrity and reliability Cross-Functional Collaboration Serve as a primary point of contact for finance-related questions across the organization Support non-finance staff in understanding and adhering to financial processes and procedures Facilitate clear communication between accounting, development, and program teams Qualifications Minimum 3-5 years of accounting, finance, or similar operational experience preferred Bachelor's degree in accounting, finance, or a related field is preferred Experience with QuickBooks or similar accounting systems Strong working knowledge of accounts payable, payroll, and general ledger processes Demonstrated ability to manage workflows, prioritize tasks, and meet deadlines in a dynamic environment Strong attention to detail combined with sound judgment and problem-solving skills Ability to work independently while effectively partnering with cross-functional teams Preferred Attributes Experience supporting attorneys, auditors, internal management and working with external accountants Familiarity with grant tracking and fund accounting environments Experience improving or implementing operational processes and systems Strong organizational and documentation skills Passion for serving veterans Why This Role This position offers the opportunity to take ownership of core financial processes while contributing to the overall operational strength of a growing nonprofit organization.
