This is a key long-term position for someone who thrives in a fast-paced, high-touch environment and can manage both accounting functions and operational coordination with professionalism and discretion. The ideal candidate is proactive, dependable, financially organized, and capable of communicating effectively with clients, vendors, contractors, and ownership. Responsibilities Client & Vendor Account Management Manage client invoicing, account tracking, and payment collection Coordinate and reconcile vendor invoices and statements Maintain accurate account records across multiple projects and properties Monitor project budgets, deposits, retainers, and purchase schedules Serve as point of contact for account-related communication Accounting & Financial Coordination Oversee accounts payable and accounts receivable Process and track bill payments for vendors, utilities, consultants, and properties Assist with monthly reporting, expense tracking, and cash flow organization Coordinate with outside CPA/bookkeeping firms as needed Reconcile credit card and bank statements Maintain organized digital financial records and documentation Property & Business Operations Track income and expenses for multiple real estate properties Coordinate vendor scheduling and maintenance-related payments Assist ownership with administrative and operational tasks Maintain confidentiality regarding company and client financial information Help improve operational systems and efficiencies Qualifications 5+ years experience in accounting, office management, operations, or financial administration Experience managing multiple accounts/projects simultaneously Strong understanding of QuickBooks and Microsoft Office/Google Workspace Experience with construction, interior design, real estate, or property management preferred Exceptional organizational and communication skills High level of integrity, professionalism, and discretion Ability to work independently and solve problems proactively Preferred Experience Interior design industry experience Property management accounting Vendor purchasing and procurement coordination Job costing and project budget tracking Experience supporting small business ownership/executives
