Nonprofit accounting experience is required. Experience with grants management, compliance, and audits is essential. Master's degree and nonprofit grants management experience strongly preferred. Talbot House Ministries is a Christ-centered nonprofit organization serving individuals and families experiencing homelessness, poverty, food insecurity, and life crises throughout Polk County. Our mission is rooted in compassion, accountability, excellence, and restoration. We operate emergency shelter programs, housing initiatives, behavioral health support, medical and dental services, employment programs, and community outreach initiatives. We are seeking a highly skilled, intuitive, and task-oriented Comptroller who thrives in a fast-paced nonprofit environment and understands the complexity of grant-funded operations, compliance, audits, payroll, budgeting, and financial accountability. The Comptroller is responsible for overseeing the organization's daily financial operations, accounting systems, grant compliance, forecasting, payroll administration, budgeting oversight, reconciliations, audit preparation, and financial reporting accuracy. Reporting directly to the CEO, this role serves as the operational financial leader of the organization and requires a proactive professional capable of identifying issues before they become problems, strengthening internal controls, improving financial processes, and ensuring accountability across departments. The ideal candidate is analytical, detail-oriented, highly organized, solution-driven, and able to manage multiple priorities simultaneously while maintaining accuracy and timeliness. This position is part of the Emergency Response Team and is expected to be available on-site during weather-related emergency situations (e.g., tropical storms, hurricanes). In the event of a weather-related emergency, you will report to the Director of Operations for specific instructions. Special circumstances will need to be approved by your immediate supervisor.
Core Responsibilities/Essential Functions:
- Performs all accounting functions including accounts payable, accounts receivable, payroll, bank reconciliations, journal entries, and monthly close. Ensure compliance with GAAP (Generally Accepted Accounting Principles), and other regulatory requirements.
- Prepare all bank and general ledger account reconciliations accurately and timely ensuring they balance to the GL.
- Design, prepare and present a monthly financial report to the Executive Director by Thursday noon preceding Board meetings.
- Design, prepare and present summarized monthly financial reports to the Board of Directors Finance Committee and General Board of Directors; respond to their queries.
- Prepare monthly financial accruals ensuring they are documented and supported.
- Ensure proper classification of expenses according to grant restrictions and approved organizational budgets.
- Provide directors with monthly budget-to-actual reports, reconciliation updates, and spending analysis.
- Support Board and Executive Director initiatives by coordinating efforts, evaluating outcomes, and providing feedback supported by financial analysis.
- Researches and writes grants in addition to providing grants administration including proposed budgets, billing, reimbursement submissions, financial reporting, compliance monitoring, and supporting documentation.
- Ensure compliance with federal, state, local, and private grant requirements.
- Develop and implement improved accounting policies, procedures, and financial workflows.
- Identify operational inefficiencies and recommend corrective action plans.
- Assist leadership with annual budgets and departmental forecasting.
- Manage payroll processing ensuring the related activity is accurately interfaced with the GL and related reconciliations are completed timely.
- Ensure timely IRS payroll tax compliance and accurate reporting.
Key Performance Indicators:
- 100% completion of monthly bank reconciliations by established deadlines.
- Zero audit adjustments and material findings.
- Accurate monthly financial statements delivered timely. Zero late payroll submissions or payroll tax penalties.
- Timely submission of all grant billings and financial reports.
- Zero grant compliance findings.
- Monthly financial reports delivered to directors by deadline.
- Improvement in month-end closing timelines.
- Zero discrepancies and correcting entries in reconciliation.
- Effective communication with department directors and leadership.
- Demonstrated initiative in identifying financial risks and operational inefficiencies.
Required Skills/Abilities:
- Experience simultaneously managing multiple grants.
- Proficiency with QuickBooks accounting software and advanced Microsoft Excel skills.
- Strong organizational, analytical, and problem-solving abilities.
- Ability to manage multiple priorities with minimal supervision.
- High level of integrity, discretion, accountability, and attention to detail.
Education and Background:
- Bachelor of Science degree in Accounting, Finance, or related field.
- Minimum of 3-5 years of nonprofit accounting experience.
- Strong knowledge of nonprofit financial management, grant accounting and compliance, budgeting and forecasting, payroll administration, audit preparation, and financial reporting.
- Experience with HUD, federal, state, local government, and private foundation grants, preferred.
- Experience with strengthening internal controls, policies, procedures, and operational financial systems, preferred.
- Experience with audit management, corrective action plans, and financial process improvements in a multi-program nonprofit environment, preferred.
Physical Requirements:
- Possession of a valid driver's license and ability to occasionally travel to other locations for business reasons.
- Ability to operate a motor vehicle.
- Hiring requirements include a criminal records background check clearance.
- Ability to remain in a stationary position 50-75 percent of the time.
- Ability to move throughout the office to access file cabinets, printers, etc.
- Ability to operate computer and other office machinery.
- Ability to observe details at close range, communicate and exchange accurate information and express oneself so others will understand.
- Ability to move and transport items weighing up to 20 pounds.
All positions at Talbot House Ministries require mandatory ongoing training and every employee is required to be available for all scheduled training. In addition, employee attendance is required at all mandatory staff meetings.
