As we continue to scale, we are seeking a hands-on Finance Accounting Manager who thrives in a fast-paced entrepreneurial environment and enjoys owning the day-to-day financial operations of a growing company. Position Overview The Finance Accounting Manager will oversee the company's accounting, bookkeeping, billing, financial administration, reporting, forecasting support, and operational finance functions. This individual will work closely with the CEO and Chief Marketing & Operations Officer (CMOO) while coordinating with the company's external CPA firm. This is a highly visible role requiring strong attention to detail, excellent organizational skills, and the ability to deliver accurate financial information to support business growth and operational decision-making. Compensation & Employment Structure 1099 Independent Contractor (First 90 Days) Full-time workload and responsibilities Opportunity to transition into a W-2 position after successful completion of the initial 90-day period Long-term growth opportunity within a rapidly expanding organization Key Responsibilities Accounting & Bookkeeping Manage day-to-day bookkeeping activities Maintain and reconcile company financial records Reconcile bank accounts, credit cards, merchant accounts, and operating accounts Ensure accuracy of financial transactions and reporting Maintain audit-ready financial documentation Accounts Payable & Accounts Receivable Process vendor invoices and payments Manage customer invoicing and collections Monitor aging reports and outstanding balances Coordinate payment schedules and cash management activities Improve billing and collections processes Financial Reporting & Forecasting Prepare weekly and monthly financial reports Track revenue, expenses, profitability, and cash flow Support budgeting and forecasting initiatives Assist leadership with financial planning and operational decision-making Develop and maintain KPI reporting dashboards Revenue Operations & Billing Manage invoicing across multiple sales channels Support recurring revenue and subscription billing processes Monitor payment processors and merchant accounts Ensure accurate revenue tracking and reporting Coordinate with sales and operations teams regarding customer billing Inventory & Product Cost Management Track inventory-related financial activity Monitor product costs, landed costs, and margins Support inventory accounting processes Track international shipping expenses, tariffs, duties, and related costs Assist leadership with pricing and profitability analysis Systems & Process Management Serve as primary administrator for QuickBooks / ZohoBooks Online Support financial reporting and operational workflows within Zoho and related platforms Identify opportunities to automate and improve financial processes Maintain data accuracy across financial and operational systems Compliance & Administration Coordinate with external CPA regarding tax preparation and filings Assist with annual financial reviews and audits Maintain contractor, vendor, and financial records Support regulatory and compliance requirements as needed Qualifications Required 3+ years of accounting, finance, bookkeeping, or financial operations experience Strong QuickBooks Online experience Experience managing Accounts Payable and Accounts Receivable Financial reporting and account reconciliation experience Advanced proficiency with Microsoft Excel or Google Sheets Strong organizational and communication skills Ability to work independently and manage multiple priorities Preferred Experience with Zoho products and integrations Experience within healthcare, medical device, health technology, wellness technology, manufacturing, or distribution environments Experience managing inventory accounting and product-based financial operations Understanding of tariffs, international transactions, shipping costs, and landed cost accounting Experience working with external CPA firms Bachelor's degree in Accounting, Finance, Business Administration, or related field Ideal Candidate You are detail-oriented, proactive, and enjoy building structure within a growing organization.
