This vital role involves overseeing administrative functions, managing staff, coordinating vendor relationships, and ensuring smooth office workflows. The ideal candidate will bring energy, exceptional organizational skills, and a proactive approach to foster a productive and welcoming environment. Your leadership will help streamline processes, support team development, and enhance overall office efficiency. Duties Supervise daily office operations, including front desk activities, multi-line phone systems, and calendar management to ensure seamless communication and scheduling. Oversee administrative functions such as filing, bookkeeping, and document management to maintain accurate records and compliance. Manage vendor relationships, negotiate contracts, and coordinate services to support office needs efficiently. Handle human resources responsibilities including onboarding new staff, training & development initiatives, payroll processing using QuickBooks, and maintaining employee records. Coordinate event planning for team meetings, client appreciation events, and community outreach activities to promote engagement. Oversee budgeting activities, monitor expenses, and ensure cost-effective use of resources while maintaining high service standards. Ensure excellent phone etiquette and communication skills are upheld across all interactions with clients, vendors, and team members. Experience Proven supervisory experience in an office environment with a focus on team management and operational oversight. Strong background in office management tasks such as calendar scheduling, filing systems, and clerical duties. Experience with QuickBooks or similar accounting software for payroll and bookkeeping purposes. Demonstrated ability in vendor management, contract negotiations, and budget oversight. Prior experience in medical office management or similar administrative roles is a plus but not required. Excellent organizational skills combined with effective communication abilities to lead a busy office setting. Familiarity with multi-line phone systems, front desk operations, and general administrative procedures is essential.
