AI has fundamentally changed what one talented, tech-fluent person can accomplish — and we are building accordingly. You will own DonorDock, QuickBooks, and the AI tools that connect them, serving as the single point of accountability between our donor data, our financial reporting, our executive team, and our auditors. What You Will Own DonorDock — our integrated donor management platform, including Otto AI automation for donor journeys, stewardship, thank-you sequences, and reporting QuickBooks — full financial management, fund allocation, and audit-ready reporting Integration between DonorDock, DonorPerfect, and QuickBooks — one clean funnel from donor to dollar to first responder Subscription audit and rationalization — identifying and eliminating redundant tools and costs (including transitioning away from platforms like Mailchimp as Otto takes over stewardship communications) Board-approved financial reporting — nothing goes to auditors without executive sign-off, without exception Proper categorization of all expenditure, including entertainment and hospitality as donor development and cultivation Year-round donor financial reporting, not just at the annual grants announcement AI & Technology Requirements This role requires demonstrated, hands-on AI fluency — not willingness to learn. Otto, DonorDock's built-in AI automation engine, is central to how we operate, and this person will own it.
Must-Have AI Capabilities:
Hands-on experience using AI assistants (such as DonorDock's Otto) to automate thank-you letters, donor journeys, and stewardship communications Comfortable using AI to draft or check financial reports without losing accuracy or oversight — not just casual ChatGPT use Sound judgment on when AI is genuinely saving time versus creating cleanup work
System Fluency Required:
QuickBooks — hands-on configuration and administration, not oversight of someone else who manages it DonorDock and DonorPerfect integration experience, or demonstrated aptitude to get up to speed quickly Understanding of how AI-driven categorization and automation affects audit trails and fund allocation — particularly the distinction between restricted and unrestricted giving
Why This Matters:
Otto is designed to replace a significant portion of our manual stewardship work and reduce our subscription overhead. This person owns the full funnel — DonorDock, QuickBooks, and our AI tools — and is accountable for making that system work cleanly. AI-assisted work still requires a clear paper trail and human sign-off before anything reaches our auditors or our board.
