The Part-Time Finance Manager will oversee day-to-day financial and accounting operations, including bookkeeping, payroll processing, accounts payable (AP), accounts receivable (AR), invoicing, account reconciliation, payment processing, and financial administration. The ideal candidate has experience with QuickBooks, bookkeeping, payroll, reconciliations, and small business financial operations, and thrives in a detail-oriented, fast-paced environment. WHAT YOU'LL DO DAY-TO-DAY
Financial Management & Bookkeeping :
Manage daily financial operations, including bookkeeping, payroll, invoicing, account reconciliation, and financial recordkeeping. Maintain accurate financial records using QuickBooks. Assist with financial reporting, organization, and record maintenance. Support budgeting and financial planning efforts. Accounts Payable & Receivable :
Manage accounts payable (AP) and accounts receivable (AR). Process vendor payments, bill pay refunds, company credit card transactions, and reimbursements. Coordinate client invoicing and follow up on payment-related inquiries. Review and reconcile financial transactions to ensure accuracy. Payroll & Payment Processing :
Process payroll and assist with payroll administration. Coordinate ACH payments, Ebiz Charge transactions, and other payment methods. Audit location invoicing and financial records for consistency and accuracy. Financial Administration :
Handle DocuSign agreements, payment forms, and financial onboarding documentation. Manage accounting and finance-related email correspondence. Assist with tax-related administrative support and income tracking. Identify opportunities for financial process improvements and efficiencies . Executive Assistant :
Support the CEO and executive team to manage scheduling, travel, and other executive coordination as needed including office management needs (e.g., vendors, office supplies / snacks). WHAT IT TAKES TO SUCCEED
2+ years of experience in finance, bookkeeping, accounting, payroll, or financial administration including, but not limited to, experience with Payroll processing, Bookkeeping, Accounts Payable (AP), Accounts Receivable (AR), Bank and account reconciliations, and Client invoicing. Systems :
Proficiency in QuickBooks (will require certification if not already achieved) and Google Sheets, Microsoft Excel, or financial spreadsheets. Strong analytical, organizational, and problem-solving skills. Experience supporting small business accounting or multi-location operations a plus. Excellent attention to detail and accuracy, with strong organizational skills. Strong written and verbal communication skills, fluent in English, able to build and maintain rapport with clients.
