This position provides leadership and supervision to full-time financial aid staff and oversees daily operational activities within the financial aid office. The Student Services Manager is responsible for managing complex financial aid functions, performing quality assurance, and overseeing federal, state, and institutional aid programs to ensure regulatory compliance. The role also collaborates with internal departments and external agencies that support financial aid operations and student services. Essential Functions 30%
  • Provides specific federal, state, institutional and private financial aid program management (i.
e. Pell, Direct Loan, Scholarship, LEAP, FWS, Private Loan) including maintaining regulatory timelines for review and return of funds, award accuracy, and ensure a compliant reconciliation schedule for the Federal Pell Grant, Direct Loan, and Federal Work Study programs; creates and maintains e-files and spreadsheets; researches and performs problem solving; requests and monitors reports. 25%
  • Supervises and provides work direction and guidance to assigned personnel; conducts evaluations of staff and assists in hiring, training, and professional development of staff and student staff. 20%
  • Manages the technical and professional operations of the college's financial aid program; supervises the retention and maintenance of a variety of records, lists, and files related to financial aid processes, operations, and activities.
Oversees SIS annual rollover process and testing to prepare for the awarding of the next academic year. Oversees testing of functions, patches, and adoption of new software releases (related to financial aid); verifies and validates set-up and testing associated with college financial aid parameters. 10%
  • Maintains a comprehensive working knowledge of all federal and state regulations that govern the programs administered by the Financial Aid Office; researches, analyzes/interprets regulations for financial aid and responds to inquiries requiring detailed knowledge of regulations and policies; compiles information and data to prepare various financial aid reports and fund applications for distribution to appropriate state and federal agencies; attends professional workshops and conferences.
Communicates with other district departments and personnel, governmental agencies, financial institutions, and other colleges and universities concerning financial aid operations. 10%
  • Partners and collaborates with Marketing Team to create student facing communications, Maintain the GateWay Financial Aid website to include and maintain accurate and updated information, and provide information for the monthly Financial Aid Newsletter, Assist with the department's website content and with financial aid forms available for student download. 5%
  • Other duties as assigned by the Director of Financial Aid.
Minimum Qualifications Bachelor's Degree from a regionally accredited institution in education, sociology, business administration or related field and five (5) years of progressively responsible student services or related experience that includes such things as administration of policies and procedures, program oversight and two years of supervisory experience. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications Master's degree from a regionally accredited institution in education, public administration, counseling, or a related field Three (3) years of supervisor/manager responsible experience in financial aid and enrollment services, or a related student services area, managing the daily workflow of full-time staff, including hiring, evaluating, training/educating, and oversight Demonstrated knowledge of federal and state regulations of clock hour student eligibility and packaging Three (3) or more years of experience utilizing, maintaining, and troubleshooting various technology solutions such as PeopleSoft, NSLDS, COD, etc., as it applies to financial aid program management and compliance. Three (3) or more years' experience managing a federal aid program, including reconciliation, financial aid compliance reporting, working with auditors, student/program outcomes, and analyzing data/metrics. 1 year full-time relevant MCCCD experience during the previous two years (internal candidates ONLY) Special Working Conditions Must not be in default or overpayment of federal financial aid funds May participate in a partial remote work schedule May be required to travel or be assigned to all GateWay locations May require some evenings or weekends May require prolonged periods of viewing a computer screen May be required to lift or carry up to #25 lbs MCCCD does not sponsor individuals for any type of work visas
