Knoxville company is seeking an experienced Accounting & Office Manager!
Pay:
$20.00-$30.00/hour

Position Summary The Accounting & Office Manager is responsible for overseeing the company's accounting operations, office administration, inventory controls, and administrative support functions. This role serves as a key member of the management team, ensuring accurate financial reporting, efficient business processes, strong internal controls, and cross-functional collaboration to support overall organizational success. Key Responsibilities Accounting & Financial Management Manage all day-to-day accounting functions, including: Accounts Receivable and Collections Accounts Payable Inventory Accounting and Management Cash Management and Reporting Payroll Processing Expense Reporting General Ledger Maintenance Enter and process sales orders, bills, item receipts, and credit/debit card transactions in QuickBooks. Perform monthly bank reconciliations and maintain daily cash position reporting. Reconcile all general ledger accounts on a monthly basis. Complete month-end closing activities and ensure timely and accurate financial statements. Prepare monthly, quarterly, and ad hoc financial reports for management. Work closely with the company's CPA firm to ensure compliance with GAAP and timely reporting requirements. Assist leadership with budgeting, cost savings initiatives, cash flow management, and productivity improvements. Office Administration & Operations Supervise and support Accounting Department personnel. Develop, implement, and maintain company policies and procedures. Coordinate and resolve IT-related issues with internal users and external vendors. Ensure daily QuickBooks backups are completed and system integrity is maintained. Maintain customer records and verify accurate setup of new customer accounts. Follow up on credit references and customer credit applications. Create and maintain customer-specific pricing structures. Manage sales order worksheets and tool repair tracking systems. Add shipment tracking information to customer portals and online ordering systems. Inventory & Warehouse Support Oversee inventory spot checks and inventory accuracy initiatives. Assist with warehouse operations as needed. Support shipping, receiving, and logistics functions. Coordinate deliveries and company supply runs when required. Human Resources Administration Support and oversee HR administrative functions, including: New hire onboarding documentation Benefits administration Employee records management Termination and exit processing Ensure all new hire paperwork is completed within 24 hours of hire. Ensure employee exit checklists are completed on the date of termination. Cross-Functional Collaboration Partner with department managers to improve operational efficiency and communication. Assist Customer Service, Sales, Warehouse/Shipping, and other departments as business needs require. Support special projects and strategic initiatives assigned by executive leadership.
Qualifications:
Required Skills & Experience Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred. 5+ years of progressive accounting and office management experience. Strong knowledge of accounting principles and financial reporting. Advanced proficiency with QuickBooks or comparable accounting software. Strong Microsoft Excel skills. Experience managing multiple priorities in a fast-paced environment. Excellent organizational, analytical, and problem-solving skills. Strong verbal and written communication skills. Ability to maintain confidentiality and exercise sound judgment. Leadership Competencies Strong attention to detail and accuracy. Ability to lead and develop team members. Results-oriented with a focus on continuous improvement. Collaborative approach to working across departments. Strong customer service mindset and business acumen. Performance Expectations & Key Metrics The Accounting & Office Manager will be evaluated on the following performance measures: 1. Complete all daily accounting and administrative tasks as outlined in the Daily Checklist. 2. Complete monthly financial close by the 4th business day. 3. Distribute Monthly Statistics Report with management commentary by the 5th business day. 4. Lead and present monthly management meetings by the 6th business day. 5. Reduce Days Sales Outstanding (DSO) by 10% compared to the prior year. 6. Identify and implement cost savings and/or cash flow improvements totaling at least $10,000 annually. 7. Maintain accurate and timely financial reporting and reconciliations. 8. Ensure all general ledger accounts are reconciled monthly. 9. Maintain compliance with company policies, accounting standards, and regulatory requirements. 10. Ensure timely completion of HR onboarding and offboarding processes. 11. Provide responsive support to operational departments and contribute to overall company effectiveness. 12. Successfully complete special projects and management initiatives as assigned.
