THE ORGANIZATION
Community Associations Institute ("CAI") is an international organization that serves as the voice for condominium, cooperative and homeowner associations. As a nonprofit 501(c)(6) organization and as a chapter of CAI, the Southeastern Virginia Chapter of CAI's (SEVA-CAI) objectives are to be the recognized resource for exceptional education, support services and networking opportunities for the community association industry.
JOB SUMMARY SEVA-CAI
is seeking a highly organized and detail-oriented Finance & Membership Administrator ("FMA") to support the Chapter's financial operations, membership programs, and administrative functions. This position is a full-time position; however, the Board is willing to consider this position being part-time as well. This position has an hourly wage of $23.00. During the temporary employment period, the candidate will not be eligible for
SEVA-CAI
paid time off (PTO) and will not have medical, dental, vision, retirement, or other employee benefits. A candidate who is later offered and accepts a permanent position directly with
SEVA-CAI
may become eligible for
SEVA-CAI
employee benefits, including PTO and medical insurance benefits, in accordance with
SEVA-CAI
policies and waiting periods in effect at the time of hire. In any event, there are no dental, vision, or retirement benefits for a permanent position with
SEVA-CAI. QUALIFICATIONS
Minimum 3 (three) or more years of bookkeeping or accounting experience. Strong proficiency in QuickBooks is a must. QuickBooks Online experience strongly preferred. Solid proficiency in MS Office (Word, Excel, PowerPoint, Outlook, Teams etc.) is also a must. Excellent organizational skills, ability to work on multiple overlapping projects, meet deadlines and exhibit continuous attention to detail. Excellent verbal and written communication skills. Experience in working with Membership databases, websites and Social Media platforms is preferred. Understanding of, and commitment to, the contribution of volunteers, working with volunteer committees, accepting ideas, and maintaining delineation of staff and volunteer roles. Strong ability to take and follow direction from the Chapter Executive Director and the Chapter Board of Directors. Exceptional customer service skills.
ESSENTIAL DUTIES & RESPONSIBILITIES
Membership Administration Maintain and oversee the Chapter's membership database. Work to retain current Chapter members via monthly membership renewal outreach. Serve as Staff liaison to Membership Committee. Assist with onboarding and welcoming new members. Coordinate and oversee Chapter Annual Sponsorship Program. Process event registrations and payments. Prepare registration lists, name badges, announcements, and event materials for chapter events. Financial Management Assist the Finance Committee with preparation and development of the annual budget. Monitor income and expenses in relation to the approved budget. Prepare monthly financial reports and statements for Board review. Process accounts receivables and accounts payable transactions. Prepare deposits, code expenses and income appropriately, and maintain accurate financial records. Generate invoices and follow up on outstanding balances as needed. Coordinate sponsorships, advertisements, and related financial tracking. Work closely with the Chapter Treasurer regarding banking and financial activity. Maintain organized and accurate financial documentation. Other Carry out other responsibilities as may be delegated by the Board of Directors. Assist Chapter Executive Director on various administrative tasks as needed which may include but not be limited to; update of chapter website and/or social media accounts, provide support for chapter signature events (CA Day, Golf Classic and annual meeting) and general member support. Job Requirements Ability to lift and transport moderately heavy boxes and materials. Travel to and from offsite meetings and events. Availability of own transportation for work use. Ability and willingness to work evenings and weekends, as required. Ability to work both independently and collaboratively in a nonprofit, volunteer-driven environment.
