Job Overview We are seeking a dynamic and detail-oriented Financial Administrator to join our team and drive excellence in financial management and planning and who is experienced and detail-oriented to oversee payroll, accounting operations, and financial reporting for our organization. This role is essential to maintaining accurate financial records, supporting staff and client payroll processes, and ensuring compliance with state and federal regulations. The ideal candidate will have strong accounting and payroll experience, excellent organizational skills, and the ability to manage multiple financial functions in a collaborative non-profit setting. This role offers an exciting opportunity to oversee a broad spectrum of financial operations, ensuring accuracy, compliance, and strategic growth. As a key member of our financial team, you will be instrumental in managing financial records, supporting investment strategies, and providing critical insights to facilitate informed decision-making. Key Responsibilities Payroll & Human Resources Process payroll for staff and client production employees Manage 401(k), insurance, life and disability benefits, EFTPS, and state withholding payments Upload direct deposit/NACHA files Maintain personnel files and employee data within payroll software (MITC) Process mileage reimbursements, staff reimbursements, and bonus entries Complete quarterly and annual reporting including: 941 filings Wisconsin withholding reports Social Security reporting BLS reporting Wisconsin DWD unemployment reporting Prepare and process annual W-2 forms Accounts Receivable Oversee client attendance and billing processes Manage reconciliation of billing and assist with authorization issues Oversee production billing and review aging reports Review ACH bank deposits and remote check deposits processed in QuickBooks Accounts Payable Review accounts payable invoices and obtain approvals as needed Monitor proper GL coding and budget variances Review company credit card transactions and process journal entries Additional Financial Duties Manage fleet vehicle records including loans, gas cards, titles, insurance, purchases, and disposals Perform bank reconciliations and maintain cash sheets Prepare monthly income and expense reports Maintain balance sheet accounts Assist with annual budget planning Coordinate and manage annual audit preparation Complete journal entries and account balancing Qualifications Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred Minimum 3-5 years of accounting, payroll, or financial administration experience Experience with payroll processing and financial reporting Knowledge of QuickBooks and payroll software; MITC experience preferred Strong understanding of accounting principles and compliance reporting Excellent attention to detail and organizational skills Ability to handle confidential information professionally Experience in a non-profit environment is a plus Benefits Competitive salary based on experience Health, life, and disability insurance Retirement plan with 401(k) options Paid time off and holidays Meaningful work supporting individuals with disabilities Supportive and collaborative team environment
