Job Description

CLOSED® Title, www.closedtitle.com, one of the fastest growing title companies in the country, is hiring a financial operations specialist for our Fort Lauderdale, Florida headquarters. CLOSED® operates digitally, so our operations manager has the opportunity to assist overseeing our business and serving clients across multiple states while working directly with senior leadership at our national headquarters. The ideal candidate will have previous experience in title, funding, reconciliations, title accounting, reports. Responsibilities Working across multiple bank accounts in multiple states — Manage and monitor escrow, operating accounts across jurisdictions with varying state-specific compliance requirements. Ensure funds are properly allocated, segregated, and reconciled per each state's regulations. Maintain accurate records and flag discrepancies promptly. Handle title data call requirements — Accurately compile, organize, and submit title data in response to underwriter or regulatory data calls. Adhere strictly to formatting standards, deadlines, and completeness requirements. Cross-reference source documents to ensure all reported figures are accurate and consistent. Reviewing and disbursing aggregates — Audit aggregate escrow calculations to verify compliance with state escrow rules. Approve and execute disbursements only after confirming all required conditions are met, supporting documentation is in order Reviewing daily reconciliations — Perform end-of-day reconciliation of all escrow and operating accounts, comparing ledger balances against bank statements. Identify and resolve any out-of-balance items before close of business. Maintain a zero-tolerance standard for unexplained variances. Banking — positive pay approval, reviewing and approving wires — Review and approve or reject daily positive pay exception items against authorized check registers. Evaluate and authorize outgoing wire transfers, verifying payee, amount, and account details match source instructions exactly before approval. Apply strict verification protocols to prevent fraud. Submit Simplifile recordings — Prepare and submit documents for e-recording through Simplifile, ensuring all required fields are complete, documents meet county-specific formatting requirements, and submissions are tracked through confirmation of recording. Follow up on rejections and refile promptly. Complete underwriter reports, review underwriter and vendor invoices — Prepare accurate, timely reports for underwriters per their specified templates and schedules. Review incoming underwriter and vendor invoices for accuracy, proper authorization, and alignment with contracted rates before routing for payment.
