Law School Faculty Operations Job Description Summary:
This position will report to the Manager of Financial Operations for the Law School and is the primary liaison with the University's offices of travel and procurement. This position is responsible for preparing travel authorizations and expense reports for students, staff, faculty, and guests, and ensuring University procurement and travel policies are followed. This is a customer-facing role that serves as a primary point of contact for faculty, staff, and students, requiring strong communication and service skills. This position will be primarily responsible for:
  • Communicating University financial policies and procedures to Law School community
  • Managing the day-to-day expense and travel functions for the Law School for faculty, staff, students, and guests
  • Managing the Law Financial Operations email account
  • Managing and reconciling assigned small purchase charge card (SPCC)
  • Preparing bank transmittals and scheduling deposit pickups
Job Description:
Required Qualifications:
High school graduate or equivalent. Basic bookkeeping experience. Attention to detail. Experience with Microsoft Excel. Customer service skills.
Preferred Qualifications:
Bachelor's Degree or equivalent combination of education, experience, and training. Accounting experience or ongoing educational coursework in business or accounting field. Work experience in accounting and financial reporting environment. Experience with Workday and/or Jaggaer.
Conditions of Employment:
This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.
Duties:
50%
  • Travel and Expense Administration Prepare travel authorizations for faculty and staff. Submit travel and expense reimbursements for students, faculty, staff, and guests. Ensure travel policies are communicated and followed. 30%
  • Procurement and Purchasing Support Process requisitions, purchase orders, and invoices in buyW&M (University procurement system).
Complete punchout orders through buyW&M. Manage and reconcile assigned SPCC according with the State and University policies. 15%: Financial Transactions and Administrative Support Provide customer service to the Law School community regarding financial matters. Manage Law Financial Operations email account. Audit, code, and post financial records to Workday using accounting principles and University policies. 5%
  • General Operational Support Perform other duties as assigned in support of Law School financial operations.
Salary Range:
$45,000 to $47,500 commensurate with experience
