BJACE AND THE MULTI-DISTRICT CAREER CENTER ENVIRONMENT
Beaufort-Jasper Academy for Career Excellence (BJACE) is a shared career and technical education center serving students from multiple high schools across Beaufort and Jasper counties. As a multi-district career center, BJACE operates through strong collaboration across partner districts, schools, and community stakeholders to deliver industry-aligned programs, support college- and career-readiness, and expand student access to specialized facilities, equipment, certifications, dual-enrollment opportunities, and work-based learning experiences. This environment requires staff to work effectively across organizational lines, maintain consistent procedures and strong communication, and support a diverse student population with professionalism, flexibility, and a service mindset.
POSITION PURPOSE
Supports efficient, accurate, and compliant school-based financial operations through strong customer service, sound internal controls, and effective use of digital systems. This role manages a broad range of campus finance functions, including procurement card activity, purchasing, accounts payable, payroll support, cash handling, student obligations, contracts, and financial recordkeeping. The position works collaboratively with school and district staff, communicates effectively with students, families, vendors, and employees, and handles sensitive information with professionalism, discretion, and attention to detail.
ESSENTIAL FUNCTIONS
Processes purchase requests, verifies budget availability, obtains quotes when needed, creates electronic purchase orders, and supports timely invoice processing and payment. Partners with vendors and district departments to obtain pricing and availability information, track orders, resolve discrepancies, and ensure procurement activities follow district procedures. Manages procurement card activity, including transaction review, reconciliation, documentation, and compliance with Beaufort County School District (BCSD) controls and deadlines. Receipts, records, reconciles, and deposits school funds accurately and in a timely manner, maintaining appropriate documentation and internal controls for all cash-handling activities. Maintains accurate financial records and account balances, including student activity, special revenue, grants and other assigned accounts, and prepares routine and ad hoc reports for school and district leadership. Supports payroll- and position-related processes as assigned, including review of documentation, data entry, tracking, and follow-up to ensure accuracy and timeliness. Processes reimbursements, travel requests, and travel settlements in accordance with BCSD procedures and deadlines. Records receipt of goods and services in financial systems and maintains supporting documentation for audit readiness and compliance. Prepares records and documentation for internal and external audits and helps maintain strong financial controls and compliance with district, state, and federal requirements. Prepares, reviews, and submits reimbursement claims for federal grants by ensuring expenditures are allowable, properly documented, and compliant with 2 CFR Part 200; reconciles claims to financial records, maintains audit-ready documentation, collaborates with program staff and grantors, and monitors budgets and reporting requirements to ensure accurate, timely reimbursement and regulatory compliance.
ADDITIONAL DUTIES
Performs other related tasks as assigned by the Director, Chief Financial Officer, Superintendents, or other district administrator designated by the Superintendents.
QUALIFICATIONS
Associate's degree required; bachelor's degree in business, accounting, finance, or a related field preferred. Equivalent combination of education and relevant experience may be considered. Minimum of four years of progressively responsible for bookkeeping, finance, school office, or related experience required. Demonstrated ability to maintain confidentiality, manage multiple priorities, and meet deadlines with accuracy and professionalism.
EXPERIENCE
Proficiency with Microsoft Office applications, especially Excel, Word, Outlook, and PowerPoint, with the ability to create spreadsheets, reports, and business correspondence. Experience using financial, payroll, purchasing, or enterprise resource planning systems; school district finance systems experience is preferred. Strong data-entry, reconciliation, and records-management skills with close attention to detail and accuracy. Ability to communicate clearly and professionally with diverse audiences and provide responsive customer service. Ability to learn new software and adapt to changing processes, priorities, and compliance requirements.
