Full Job Description Position Summary:
The Clinical Research Finance Specialist is responsible for building and maintaining studies within the Clinical Trial Management System (CTMS), generating and tracking study invoicing and payments, and supporting the clinical operations team with financial reporting. This role ensures financial integrity across the trial lifecycle and helps align CTMS data with study progress.Key Responsibilities:
Build and configure studies in the CTMS platform, including visit-based billing items, and milestone deliverables. Perform frequent quality checks in CTMS to ensure visit completion and invoicing submission is performed accurately. Manage and track invoicing and receivables, ensuring timely sponsor payments, accurate revenue posting, and payment reconciliation. Partner with corporate accounting to ensure payments are received and accurately recognized. Monitor payment terms and follow up on outstanding invoices, escalating as needed to leadership in sponsors. Provide real-time CTMS support to clinical operations for subject tracking, visit completion issues, and budget triggers. Run monthly and quarterly financial reports as applicable, supporting accruals and forecasting. Partner with Finance and Ops leadership to support budget variance reviews and revenue cycle integrity. Assist in process optimization for CTMS workflows and SOPs relating to study financials. Work cross-functionally with study coordinators and site managers to align financial milestones with study conduct.Qualifications:
Associate or Bachelor's degree in Finance, Accounting, Business, or related field or years of experience equivalent to 4 years. 1-3 years of experience in clinical research finance or CTMS operations preferred. 1-3 years of experience managing accounts receivable (revenue, cash, and adjustments). Strong understanding of clinical trial visit structures, budget terms, and billing triggers. Familiarity with CTMS platforms (e.g., RealTime) a plus. Excellent Excel and data management skills.
