Job Description

SUMMARY JOB DESCRIPTION
This is a professional position responsible for overseeing auxiliary services business and financial operations, to include accounting, bookkeeping, purchasing, and budget administration. Serves as the primary liaison for the division's daily fiscal operations. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the Assistant Vice President of Enrollment and Student Engagement (Administration).
QUALIFICATIONS
Bachelor's degree in accounting, business, or a related field is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources. Three years of related experience is required. Experience in bookkeeping, fiscal accounting, and/or budget administration is required. Experience in higher education is preferred.
ESSENTIAL JOB FUNCTIONS
Oversees departmental business and financial operations, to include receiving and monitoring campus vendor commissions. Manages financial processes related to auxiliary services; develops, implements, and maintains internal processes and procedures. Compiles sales tax data and completes sales tax remittances. Maintains, manages, and reconciles receivables, accounts payable, budgets, and other business accounts within the department. Verifies accuracy of accounting data and entries. Reviews accounts for errors and discrepancies; researches accounts as required to make corrections. Assists in administering divisional budgets by developing, maintaining, and analyzing budget reports and tracking budget changes. Supports division by establishing and maintaining accurate shadow budget spreadsheets. Interprets and explains divisional and university policies and procedures related to budgets. Prepares and analyzes various daily, monthly, quarterly, annual, special, and ad hoc reports. Initiates and processes requisitions for purchases; maintains requisitions for purchasing inventory of equipment and supplies. Serves as point of contact to university departments concerning accounting and financial information related to activities in the department and division. Identifies and incorporates changes in university, state, and/or federal policies and procedures, ensuring departmental and divisional compliance.
NON-ESSENTIAL JOB FUNCTIONS
Coordinates and assists with special projects as assigned. Serves as backup to other divisional staff as assigned. May train and supervise student workers. May serve on departmental or university committees. Performs other related duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation. Knowledge of, or the ability to learn, university fiscal regulations, policies, and procedures. Knowledge of bookkeeping and accounting procedures and methods, and ability to apply them to difficult or complex situations. Knowledge of records administration and maintenance techniques and procedures. Skill in using computer applications including spreadsheet, database, and word processing software. Skill in completing assignments accurately and with attention to detail. Ability to learn office and university-specific software. Ability to set priorities and complete assignments on time. Ability to compile, organize, interpret, and communicate financial data and results in a concise format. Ability to exercise sound judgment in making critical decisions. Ability to accurately prepare and maintain records, files, and reports. Ability to work with and maintain confidential information. Ability to communicate effectively in both oral and written form. Ability to explain policies and procedures to staff, vendors, and the public. Ability to maintain effective interpersonal relationships.
