Position Summary The Parent Accounts & Financial Services Coordinator serves as the primary financial point of contact for families at Impact Christian Academy. This role is responsible for providing exceptional customer service while helping families navigate tuition, fees, payment plans, scholarships, financial commitments, and account-related questions. This position serves as a bridge between families, school administration, admissions, and the Finance Department—ensuring that families receive accurate information, timely communication, and compassionate support while maintaining accountability to the school's financial policies and procedures. The ideal candidate is highly relational, detail-oriented, organized, and professional, with the ability to balance customer service, financial stewardship, and difficult conversations with care and confidence.
Key Responsibilities:
Parent Account Services
- Serve as the primary point of contact for parent and guardian account inquiries.
- Provide guidance regarding tuition, fees, payment schedules, enrollment deposits, account balances, and school financial policies.
- Educate families on payment options, financial commitments, and available resources.
- Assist families in understanding tuition agreements and financial responsibilities.
- Maintain professionalism, confidentiality, and a high standard of customer service in every interaction. Enrollment & Re-Enrollment Support
- Meet with prospective and returning families to explain tuition rates, fees, payment plans, scholarship opportunities, and financial policies.
- Support annual enrollment and re-enrollment initiatives.
- Partner closely with Admissions, School Leadership, and Finance to ensure consistency and accuracy of information.
- Assist families with financial documentation and payment setup processes.
- Serve as a trusted resource throughout the enrollment lifecycle. Account Monitoring & Collections Support
- Monitor student accounts and payment activity to ensure compliance with established payment arrangements.
- Conduct proactive outreach regarding past-due balances and outstanding financial obligations.
- Maintain detailed account notes and communication records.
- Prepare regular delinquency and aging reports for leadership review.
- Document collection efforts, payment commitments, and account resolutions.
- Identify trends and potential risks requiring leadership attention.
- Escalate hardship requests, disputes, and policy exceptions to Finance Leadership.
- Support implementation and adherence to the school's tuition collection policies. Payment Processing & Financial Administration
- Receive and process tuition and fee payments.
- Issue receipts and maintain accurate payment documentation.
- Coordinate payment posting and account reconciliation activities with the Finance Team.
- Maintain petty cash and supporting records according to established procedures.
- Ensure proper handling and safeguarding of financial information and cash receipts. Administrative & Operational Support
- Prepare reports, correspondence, account summaries, and supporting documentation.
- Support special projects related to enrollment, retention, and financial operations.
- Assist with communication initiatives related to tuition and financial services.
- Participate in school events and enrollment-related activities as needed.
- Perform other duties as assigned. Required Qualifications
- Associate's or Bachelor's degree in Business, Finance, Accounting, Education Administration, or a related field preferred.
- Minimum of three (3) years of experience in customer service, accounts receivable, collections, admissions, financial counseling, school administration, or a related field.
- Experience communicating financial information to families, customers, or clients in a professional and understandable manner.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office Suite and financial or student information systems. Preferred Qualifications
- Experience working in a Christian school, educational institution, church, or nonprofit environment.
- Experience with FACTS SIS and FACTS Tuition Management.
- Experience with enrollment, admissions, or tuition management processes.
- Experience in accounts receivable, collections, or financial services.
Pay:
$40,000.00 - $45,000.00 per year
