This position serves as the liaison between the dealership and the manufacturer regarding warranty-related matters. Essential Duties and Responsibilities Review repair orders for warranty eligibility and accuracy. Prepare, process, and submit warranty claims to the manufacturer within required deadlines. Verify proper technician stories, causal parts, labor operations, and supporting documentation. Ensure warranty claims comply with manufacturer policies and procedures. Monitor claim status and follow up on rejected, suspended, or chargeback claims. Research and resolve warranty claim discrepancies. Maintain warranty schedules and reconcile outstanding warranty receivables. Process warranty payments and credits accurately. Assist service advisors and technicians with warranty coverage questions. Maintain warranty parts retention and documentation requirements. Track and report warranty claim performance, approval rates, and chargebacks. Stay current on manufacturer warranty policies, bulletins, recalls, and campaign programs. Assist with manufacturer audits and internal compliance reviews. Maintain organized records and files for warranty transactions. Work closely with accounting, parts, and service departments to ensure proper claim processing. Qualifications Previous dealership warranty administration experience
REQUIRED.
Knowledge of manufacturer warranty policies and procedures. Experience with dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, etc.). Strong attention to detail and organizational skills. Excellent communication and problem-solving abilities. Proficiency in Microsoft Office, including Excel. Ability to manage multiple priorities and meet strict deadlines. Physical Requirements Ability to sit for extended periods. Ability to use a computer and standard office equipment. Occasional lifting of files or documents up to 20 pounds. Key Performance Indicators (KPIs) Warranty claim acceptance rate. Warranty claim submission timeliness. Warranty receivable aging. Chargeback percentage. Number of outstanding claims. Audit compliance score. Average claim processing time. Success Factors High level of accuracy and attention to detail. Strong understanding of manufacturer warranty guidelines. Effective communication with service, parts, accounting, and manufacturer representatives. Ability to identify trends and proactively prevent chargebacks. Commitment to maintaining compliance and maximizing dealership reimbursement. This position plays a critical role in protecting dealership profitability by ensuring warranty claims are submitted accurately, paid promptly, and remain compliant with manufacturer requirements.
Pay:
$18.00 - $25.00 per hour
