Job Description

Dental Insurance Coordinator - Duties & Responsibilities We are seeking a highly organized, detail-oriented Dental Insurance Coordinator to join our growing private dental practice. The ideal candidate will have strong knowledge of dental insurance, excellent communication skills, and a passion for helping patients understand and maximize their benefits.
Responsibilities:
Insurance Verification & Benefits Verify dental insurance eligibility and benefits prior to patient appointments. Obtain accurate breakdowns of coverage, deductibles, frequencies, waiting periods, annual maximums, and limitations. Communicate insurance benefits and estimated patient portions to patients before treatment. Work insurance aging reports Claims Processing Prepare, submit, and track dental insurance claims electronically. Ensure claims are submitted accurately and in a timely manner. Follow up on outstanding claims and aging insurance accounts. Resolve claim denials, requests for additional information, and processing discrepancies. Submit narratives, x-rays, photos, periodontal charting, and supporting documentation as needed. Treatment Coordination Assist patients in understanding their insurance coverage and financial responsibilities. Present treatment estimates based on insurance benefits. Coordinate with clinical team members to ensure accurate coding and documentation. Accounts Receivable & Collections Monitor insurance aging reports and unpaid claims. Research and resolve claim payment issues. Post insurance payments and adjustments accurately. Pre-Authorizations & Predeterminations Submit pre-authorizations and predeterminations for recommended treatment. Follow up with insurance carriers regarding authorization status. Review and explain insurance responses to patients and providers. Patient Communication Answer patient questions regarding insurance benefits, claims, and balances. Educate patients on coverage limitations and treatment estimates. Provide exceptional customer service while maintaining professionalism and empathy. Administrative Duties Maintain accurate patient insurance information within the practice management software. Update insurance records and coordination of benefits information. Ensure compliance with HIPAA and office policies. Assist front office team with scheduling, phones, and patient check-in/check-out when needed.
Qualifications:
Minimum 2 years of dental insurance coordination experience preferred. Strong understanding of PPO dental insurance plans and claim processing. Experience with Open Dental, or similar dental software preferred. Knowledge of CDT coding, insurance billing, and accounts receivable. Excellent organizational, communication, and problem-solving skills. Ability to multitask and thrive in a fast-paced environment. Positive attitude with a patient-focused approach.
