This includes planning, monitoring, and recording software license and/or hardware assets to ensure compliance with vendor contracts. The individual will assist in forming procurement strategies to optimize technology spending across the organization. The IT Asset Administrator will also develop and implement procedures for tracking company assets to oversee quality control throughout their lifecycles. Duties/Responsibilities IT Asset Management Research best products for purchase. Add money to DTS by setting up "manufacturer buy backs" of old assets where applicable and/or facilitate an annual IT Technology Sale. Records and Reports Audit entire campus annually to keep accurate records. Maintain records of assets and produce worksheets to anticipate need. Create reports to demonstrate life cycle and warranty trends. Produce annual report for all 'known' DTS technology purchased with non-IT DTS budgets. Produce annual report for Faculty Life Cycle Maintenance of Computers and related technology. Produce annual report for Staff Life Cycle Maintenance of Computers and related technology. Accurately and correctly receive products and check or receive into inventory. Tag items and record in database. Facilitate returns when necessary. Ship assets to other campuses or remote staff as necessary. Keep records of warranties. Safety Ensure security of PII (personally identifiable information) and other institutional data by monitoring removal of all hard drives or complete erasures from computer housings. Further ensure safety of PII and other institutional data by shredding of hard drives from retired computers, copiers, MFP's, data arrays, SAN/JBOD/NAS When applicable work help IT work toward PCI compliance. Software Licensing Management Keep records of all software purchased and/or used on DTS-owned assets. Manage software licensing compliance for DTS (all campuses). Research licensing requirements of all software purchased and/or used on DTS-owned assets. Find legal and cost effective ways to purchase all DTS purchased software. Maintain relationships with all departments to create a smooth process. Report software license violations to IT management. Finances Purchasing Obtain competitive quotes for requested hardware and software Secure the proper signatures and budget numbers. Submit PR's to Business Office. Match receipts with department CC statement Maintain the Budget Project Management to log all expenditures for Open IT related Projects. Other Duties Create IT work orders related to the life cycle management of technology for desktop support provisioning, as well as general provisioning of other IT related technology. Work to create a smooth and efficient office environment. Complete coursework in Excel to be able to create reports that support all of the work in IT department. Move toward a paperless IT environment. Complete any other task/objective assigned by the IT Asset and Project Manager. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Strong analytical and problem-solving skills. Strong supervisory and leadership skills. Ability to prioritize tasks and to delegate them when appropriate. Ability to function well in a high-paced and at times stressful environment. Budget management experience. Procurement experience. Expense report writing experience. Industrious Work Ethic. Excellent verbal and interpersonal, communications, and customer service skills. Experience working with the Microsoft 365 (employment history using outlook/word/excel) and PC Platform. Capable grammatical skill. Intermediate or stronger Excel capabilities. Experience working with corporate contracts and related terms and conditions. Self-starter; able to manage own projects efficiently for on-time delivery, Self-motivated; pro-active; a team player; well spoken. Education and Experience High school diploma or equivalent. At least two years related experience required. Current human resources and/or compensation credentials or certification preferred. Physical Requirements Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 50-100 pounds at times.
