The Loan Operations Assistant Manager supports the Loan Operations Manager in overseeing loan servicing, loan booking and back‑office functions to ensure accurate, timely, and compliant processing of consumer, commercial, and/or real estate loans. This role provides supervisory support, acts as a subject matter expert for loan servicing and booking activities, helps drive operational efficiency and risk mitigation.
Responsibilities:
Review and approve complex loan transactions, SWAPS, syndications, rate changes, extensions, renewals, and servicing exceptions within assigned authority. Supervise escrow servicing, including escrow payments of taxes and insurance and annual escrow analysis, to ensure procedures are followed and escrows are paid in a timely manner. Review and approve daily work from loan servicing and booking team leads to ensure loan transactions are being processed accurately and timely to catch and detect errors prior to approving FTMs. Serves as team leads backup during absences or PTOs. Oversee and provide guidance to the Loan Servicing and booking teams to ensure policies and procedures are followed with the directed assistance of the team leads Supervise loan general ledger exception investigations by staff and provide resolution to general ledger out of balances. Review and approve loan maintenance cases Supervises and oversees daily loan maintenance activities to ensure all booking and maintenance postings are accurately entered into the core system, maintaining the integrity and reliability of the Loan Portfolio data in compliance with SOX control requirements. Review and approve mass exchange core system updates and errors investigations. Lead implementation of projects and products that impact the Loan Operations Department together with the Loan Operations Manager Participate in quality control reviews, internal audits, regulatory exams, and external audits. Directly coordinate with regulators and internal auditors during reviews of the unit Coordinate audits with the Department units Analyze and recommend stronger and/or more efficient internal controls and practices to achieve goals dealing with loan Operations. Identify operational risks or process gaps and recommend corrective actions. Develop and update the operations procedures manual, in conjunction with Loan Operations Manager, to ensure compliance with applicable laws and regulations impacting Loan Operations. Provide guidance, coaching, and training staff as needed. Serve as an escalation point for operational issues, system challenges, and internal/external inquiries. Assist with performance management, workload balancing, cross‑training, and coverage planning. Acts as a direct backup to the Loan Operations Manager Stay abreast of changes to federal regulations that might directly affect the activities of Loan Operations. Partner with Lending, Credit, Compliance, Accounting, and IT teams to streamline processes and resolve issues. Monitor service levels, error trends, KPIs, and turnaround times, recommending improvements where needed. Ensure customer complaints processes are followed to ensure adherence to the regulation and internal procedures. Oversee Credit Bureau reporting and disputes (E-Oscar) process to ensure adherence to the regulation and department procedures. Ensure preventive measures are carried out to fully comply with current rules, regulations and internal policies relating to risks pertaining toBSA, USA
Patriot Act, OFAC and other AML related issues. To identify, evaluate, monitor, and make any recommendation deemed necessary to their respective Risk Management Committee in order to assess, reduce, eliminate or control any current or prospective risks to earnings or capital arising from violations of, or nonconformance with, laws, rules regulations, prescribed practices, internal policies and procedures or ethical standards. Minimum Education and/orCertifications Requirements:
Bachelor's degree in business, finance, accounting, or equivalent. Loan Operations training, and other banking/lending related education. Managerial training. Or comparable experience in lieu of education.Minimum Work Experience Requirements:
10+ years of Loan Operations experience with solid background in all aspects of loan operations, strong knowledge of loan documentation, loan regulations and insurance requirements. Experience managing at least 3 direct reports required. Bilingual preferred (Spanish/English) Technical and/orOther Essential Knowledge:
Proficient in Microsoft Excel, Word, PowerPoint, E-Oscar, loan servicing platforms, and Core Banking systems. Sound time management and organizational skills. Excellent communication skills.Similar remote jobs
