We are currently seeking a highly motivated and detail-oriented Escrow Assistant to join our dynamic team in Decatur.
Job Summary:
Our Key Title Group DFW - Dectur team is seeking a detail-oriented and highly organized Escrow Assistant to provide crucial administrative and operational support to our Escrow Officers. The ideal candidate will be a proactive team player with excellent communication and problem-solving skills, capable of managing multiple tasks in a fast-paced environment. As an Escrow Assistant, you will play a vital role in ensuring smooth and efficient real estate transactions by assisting with the preparation, processing, and closing of escrow accounts.
Responsibilities:
Assist Escrow Officers in all aspects of the escrow process, from initial setup to final disbursement. Prepare and process escrow documents, including but not limited to opening packages, closing statements, deeds, and loan documents, with accuracy and efficiency. Maintain and organize escrow files, ensuring all documents are properly executed, tracked, and stored in compliance with company policies and legal requirements. Communicate effectively and professionally with clients, lenders, real estate agents, and other parties involved in the transaction, providing timely updates and responding to inquiries. Coordinate and schedule signings, notary services, and other appointments as needed. Assist with the preparation of wire transfers, checks, and other disbursements. Review title commitments and exception documents, identifying potential issues and escalating them to the Escrow Officer. Ensure all necessary conditions of the escrow agreement are met prior to closing. Assist with post-closing tasks, such as recording documents and preparing final title policies. Maintain a high level of confidentiality regarding sensitive financial and personal information. Provide general administrative support, including answering phones, managing emails, photocopying, and maintaining office supplies. Stay up-to-date on relevant industry regulations and best practices. Perform other duties as assigned by the Escrow Officer or management.
Qualifications:
Min. 2 years of experience in an administrative role, preferably in the real estate, title, or escrow industry. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Excellent organizational skills and attention to detail. Strong written and verbal communication skills. Ability to prioritize tasks, manage time effectively, and meet deadlines in a fast-paced environment. Exceptional customer service skills and a professional demeanor. Ability to work independently and as part of a team. Knowledge of basic escrow principles and procedures is a plus. Familiarity with relevant software and technology used in the escrow process is a plus. High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
