Non-exempt Position Summary The Commercial Loan Assistant is responsible for assisting the Loan Officer with the loan application, documentation, and servicing processes. In addition, they are accountable for resolving potential problems in loan processing and interacting with internal and external customers/vendors as necessary. The primary responsibility of the Commercial Loan Assistant is to be the liaison between the commercial lending staff and the loan operations (processing) staff to ensure the timely and accurate documentation of new loans, renewals and extensions, and to rectify any problems impacting commercial loan customers. The Commercial Loan Assistant position requires gathering items for audits and reviews as it relates to this position and working with the Loan Processing Team to achieve complete and accurate files. Specific Job Functions & Responsibilities Develop and maintain working knowledge of loan policy, lending limits, and approval requirements Coordinate with assigned lenders to understand upcoming loan activity, pipeline, and priorities Maintain regular communication with lenders to support workflow planning and closing timelines Gather, review, and organize loan documentation for new loans, renewals, and extensions Build and maintain complete loan files, including scanning and uploading documentation into Synergy Utilize department checklists to ensure accuracy and completeness of loan packages Maintain and update loan pipeline and tracking reports Review closing documents for accuracy and consistency with loan approvals; resolve outstanding items prior to funding Prepare and process loan funding and related transactions, including recording as needed Serve as a liaison between lenders, loan processing, and other internal/external parties Assist with resolving loan exceptions, documentation deficiencies, and post-closing items Support loan servicing activities, including payoffs, payments, draws, transfers, lien releases, and maturing loan tracking Assist with audits, exams, and file reviews by gathering required documentation Perform additional duties as assigned Follow required federal and state regulations and related internal policies and procedures Required Skills/Abilities Attention to detail and accuracy Strong organization and time management Ability to manage multiple priorities and meet deadlines Effective communication skills Working knowledge of commercial loan documentation Problem-solving and sound judgment Ability to work independently and in a team environment Proficiency in Microsoft Office (Word, Excel, Outlook) Ability to learn internal loan systems (e.g., Synergy) Ability to maintain confidentiality Customer service focus Occasional travel as needed Education/Experience Required High School diploma
