Overview:
We are seeking a detail-oriented and highly organized Administrative Assistant to support daily operations within a fast-paced mortgage environment. This role is critical in ensuring smooth communication, accurate documentation, and efficient coordination between internal teams, clients, and external partners. The ideal candidate is proactive, customer-focused, and comfortable managing multiple priorities.
Key Responsibilities:
Provide administrative support to loan officers, processors, and underwriting teams Manage and organize loan files, ensuring documentation is complete and compliant Communicate with clients, realtors, and third-party vendors to collect required information Schedule appointments, meetings, and follow-ups Track loan progress and update internal systems accordingly Prepare and review documents for accuracy and completeness Handle incoming calls and emails, providing professional and timely responses Assist with data entry, reporting, and file maintenance Ensure adherence to company policies and mortgage industry regulations
Qualifications:
1-3 years of administrative experience Strong organizational skills and attention to detail Excellent written and verbal communication skills Proficiency in Microsoft Office (Word, Excel, Outlook); experience with mortgage software (e.g., Encompass) is a plus Ability to manage multiple tasks and meet deadlines in a fast-paced environment Customer service mindset with a professional demeanor System One, and its subsidiaries including Joulé and Mountain Ltd., are leaders in delivering outsourced services and workforce solutions across North America.
