The Payroll Manager will manage and oversee the daily operations of the payroll department. In this key leadership role, you will establish the payroll procedures and enhance software to accommodate growth and compliance with State and Federal laws. Will perform a variety of accounting and bookkeeping duties according to established procedures. Must have an understanding of GAAP -wage computation, financial statements, cash flow and bank reconciliation. Maintains good communication with managers and employees and maintains strict confidentiality. Poses computer skills and word processing with good mathematical background required to perform in an accounting setting. Essential Functions:
The Payroll Manager reports to the Human Resource Director and has the following responsibilities: Supervisory Functions:
Lead and mentor the payroll team on the day-to-day activities by providing clear expectations, ongoing training and real time feedback to ensure the timely processing of all weekly and biweekly payroll checks. Respond to payroll questions from employees and leaders with clarity, and empathy, and resolving any concerns. Plan and review, daily and weekly work schedules, and monitor staffing needs. Processes the weekly and monthly invoicing of labor and equipment to clients. Monitors and analyzes department work to develop more efficient standard operation procedures and accuracy. Direct the end-to-end processing of multiple weekly and biweekly payrolls for exempt, non-exempt, employees ensuring every cycle is accurate, timely, and compliant. Oversee accurate calculation of wages, fringes, tax withholdings, deductions and benefits in the payroll system. Prepare, review, and reconcile payroll—related general ledger accounts, collaborate closely with the Chief Financial Officer to ensure payroll information is documented timely. Stay ahead of changes in wage and hour laws and payroll tax rules adjusting processes to maintain compliance. Serve as a key point of contact for internal and external auditors, inquiries related to payroll, taxes and payroll practices. Process documentation for new employees and enter employee information into the payroll system and update information accordingly. Review timecards for accurate time entries, compute time sheets. Enter information into database software to prepare employee paychecks and statements of earnings and deductions The Payroll Manager will be the liaison between the IT Department and the Payroll software technicians. Verify accuracy to balance with payroll; PTO/VAC Balances Reconcile Bank Statements; Report Quarterly and Yearend Tax reporting and filing. Highly organized, dependable working style with the ability to prioritize and manage deadlines. Work closely with senior leadership, Chief Financial Officer, HR and field teams to support duties as assigned. Reliable transportation to and from jobsite, and consistent attendance. 1. Minimum Education | License Required:
Accounting Degree or equivalent to Business and Generally Accepted Accounting Principles 2. Experience 5+ years of experience of Payroll experience handling both Exempt and Non-Exempt including managing multiple concurrent payrolls. 2+ years of Management in Payroll 3. Skills, Ability, & Knowledge:
Excellent written and verbal communication skills, organizational to gather and convey information effectively. Attention to detail and high level of accuracy. In addition to sort, check, and verify numbers and documents. Ability to plan efficiently, organize, and delegate responsibilities for business efficiency. Ability to use office equipment not limited to computer, 10-key, fax, and copy machine. Knowledge and ability to utilize payroll software's (UKG/Quickbooks), and Microsoft Word, and Excel Bilingual; Preferred Spanish/English Ability to maintain confidentiality of file contents Ability to work flexible schedule, extended hours during the day as needed. 4. Physical Requirements:
Ability to push, pull, carry, and lift up to a minimum of 25 lbs. Ability to stand, walk, and sit for a few hours at a time. Ability to bend, kneel, and stoop as needed. Manual dexterity sufficient to reach, grasp, hold, handle items, and work with fingers, wrists, elbows, and shoulders Clear vision (close and distant), peripheral vision, depth perception, and ability to focus Hearing adequate for working safely around machinery, vehicles, and other equipment and crews 5.
