Full-time SUMMARY:
To assist in providing a well-organized, efficient district office in which students, staff and community can take full advantage of the educational program and available resources.ESSENTIAL DUTIES AND RESPONSIBILITIES
Other duties may be assigned. Assist and accommodate visitors as needed. Receive and route incoming calls as needed. Process incoming and outgoing mail as needed. Collect data and process payroll for all employees, including substitutes and contract bus drivers. Maintain payroll and attendance records as required. Create and maintain spreadsheets and databases to aide in monitoring payroll information. Maintain leave records, such as professional and FMLA, as required. Prepare and submit state and federal reports as required. Prepare contracts, such as teaching, coaching, and bus. Send, receive, and file employment applications. Calculate quarterly bus escalation/de-escalation. Prepare and maintain school directory. Process criminal history requests, both limited and expanded, as required. Monitor state licenses, such as teaching, substitute, or administrative, for expiration. Provide clerical support, such as typing letters or recommendations, as requested by administration. Keep accurate and organized records. Assist with State Board of Accounts audits as needed. Participate in training programs as assigned. Act as Notary Public.SUPERVISORY RESPONSIBILITIES

High school graduate or equivalent. Some college coursework specific to accounting or business related field preferred. Experience with accounting and payroll strongly desired.CERTIFICATES, LICENSES, REGISTRATIONS

Ability to read and comprehend correspondence, memos, instructions, and documents, such as safety rules, operating and maintenance instructions, and procedure manuals. Exceptional ability to write reports and correspondence clearly and concisely using correct grammar, spelling, and punctuation. Ability to speak effectively with staff, students and community.MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent. Ability to perform accounting skills.REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. OTHER SKILLS andABILITIES
Ability to operate personal computers and related software. Ability to operate a fax machine, copier, modems, and telephone. Ability to type at a proficient level. Ability to interact positively with staff and the school community. Ability to communicate clearly and concisely both in oral and written form. Ability to work independently, to function effectively in a multi-task environment, and to interact positively with the public. Ability to maintain confidentiality about school and student business. Ability to establish and maintain effective working relationships with students, staff and community. Ability to maintain high attendance rate.
