Monday - Friday About Bright Side Distributing At Bright Side Distributing, we keep the shelves stocked and the good vibes rolling. We're a wholesale distributor serving smoke shops, convenience stores, liquor stores, and similar retailers throughout Oregon and Washington, helping our customers stay ahead with great products, reliable service, and a team that truly cares. We believe great companies are built by great people — and great people deserve support, accountability, clear communication, and someone who genuinely has their back. That's where you come in. We're looking for an HR Specialist / Payroll Manager who's equal parts people-person, problem solver, compliance watchdog, and detail wizard. Someone who can handle sensitive situations professionally, keep payroll running smoothly, help protect the company from unnecessary risk, and still make employees feel heard and respected. You'll also support the President with special projects from time to time, so adaptability and a "happy to help" mindset are a must. What You'll Do As the HR Specialist / Payroll Manager, you'll oversee the day-to-day HR and payroll functions that keep Bright Side running smoothly behind the scenes. You'll be the go-to person for employee support, payroll accuracy, onboarding, compliance tracking, documentation, and helping maintain a positive workplace culture. You'll also help identify problems before they become expensive problems — because risk mitigation is part of the job. Your Day Will Include:
Payroll & HR Administration Processing accurate and timely payroll through ADP. Managing employee onboarding and offboarding processes. Maintaining employee records, HR documentation, and personnel files. Assisting with benefits administration and employee questions. Tracking PTO, attendance, and other employee-related records. Helping ensure compliance with company policies and employment laws. Maintaining confidentiality with sensitive employee information. Employee Relations Serving as a trusted point of contact for employee questions and concerns. Supporting a positive, respectful, and accountable workplace culture. Assisting with employee coaching, disciplinary documentation, and conflict resolution. Helping managers navigate employee situations professionally and consistently. Encouraging communication and helping solve problems before they escalate. Risk & Compliance Helping reduce company liability through strong documentation and process consistency. Assisting with workplace investigations and incident documentation when needed. Monitoring HR practices to help ensure compliance with applicable laws and regulations. Supporting policy updates, handbook maintenance, and HR process improvements. Staying organized enough that "missing paperwork" becomes a myth. Administrative & Special Projects Assisting the President with administrative or operational projects as needed. Supporting internal initiatives that may fall outside traditional HR responsibilities. Helping improve workflows, systems, and overall company organization. Jumping in where needed — because flexibility matters in a growing business. When You're Caught Up (Yes, It Happens Sometimes) At Bright Side, being caught up doesn't mean scrolling your phone waiting for 5 PM. It means looking for ways to improve the business. When daily priorities are handled, here's where you can create extra impact: Audit HR files and documentation for completeness and accuracy. Improve onboarding or training materials. Review payroll workflows for efficiency improvements. Help organize digital files and internal systems. Identify process gaps that could create future liability. Assist leadership with special projects or operational improvements. Suggest ways to improve employee communication or morale. Ask:
"What can we tighten up before it becomes a problem?" Attention to detail is appreciated here. Proactive problem solving is respected even more. What Success Looks Like Payroll is accurate, timely, and drama-free. Employees feel supported, respected, and heard. Documentation is organized and easy to locate. Managers trust you to help navigate difficult situations. Compliance issues are handled proactively instead of reactively. Problems get solved calmly, professionally, and thoroughly. The President sleeps better knowing you're paying attention. Required Skills, Abilities, and Experience 3+ years of HR, payroll, or administrative experience required. Experience processing payroll through ADP strongly preferred. Strong understanding of confidentiality and professionalism. Exceptional attention to detail and organizational skills. Strong communication and employee relation skills. Ability to handle sensitive situations with maturity and discretion. Knowledge of employment law and HR compliance best practices preferred. Comfortable managing multiple priorities and shifting tasks. Tech-friendly and comfortable with Microsoft Office and HR/payroll systems. Positive, dependable, and solution-oriented mindset. Perks & Benefits Competitive salary. Medical, dental, vision, and life insurance. Paid time off and paid holidays. 401(k) with company match. Opportunity to help shape and improve company culture. Room to grow with a supportive, fast-moving team. Monthly Company Luncheon (yes, food is involved).
