Job Summary:
The Vista Care Payroll Supervisor oversees payroll operations and directly supports the accurate, compliant, and timely processing of payroll for our organization across multiple service lines and EINs. The role reports to the Director of Accounting Operations and is responsible for ensuring compliance with all federal, state and location payroll regulations and working closely with Human Resources & Finance departments to ensure accurate employee and payroll records. The Payroll Supervisor will manage a team of payroll specialists and collaborate across functions.
Duties/Responsibilities:
Supervises and manages the payroll team, ensuring payroll is processed accurately and on time. Responsible for the training of new payroll team members; planning, assigning, and directing the work of the team in concert with the Director of Accounting Operations Ensures compliance with applicable federal, state, and local payroll regulations. Oversees the calculation of employee wages, bonuses, deductions, and benefits. Conducts regular audits of payroll records and reports to ensure accuracy and completeness. Troubleshoots and resolve payroll issues, including discrepancies and employee inquiries. Prepares and submit reports related to payroll taxes, benefits, and other payroll-related activities. Assists in the development and implementation of payroll policies and procedures. Coordinates with the People Division to maintain and update employee records, ensuring all changes are accurately reflected in the payroll system. Maintain up-to-date knowledge of payroll software and tools, ensuring the use of best practices. Provides support for year-end reporting, including tax filings and W-2 preparation. Liaise with external vendors, including tax agencies and benefits providers, to resolve payroll-related issues. Other duties as assigned Alignment with

Qualifications and Experience:
2+ years of supervisory experience successfully managing multiple team members in both remote and onsite environments 3+ years of experience in payroll processing Payroll certification (FPC, CPP), preferred Experience with payroll software such as UKG (Ultimate Kronos Group) is strongly preferred Familiarity with payroll tax regulations, labor laws, and benefits administration
  • multi-state experience preferred Demonstrated ability to work with complex payroll data sets Experience with Netsuite preferred Experience with import/export of data and data templates
Knowledge, Skills, and Abilities:
Strong attention to detail and accuracy. Effective verbal and written communication skills Fluency in oral and written English Exceptional mathematical and calculation skills Knowledge of garnishment and child support calculations Competency in payroll tax regulations, labor laws, and benefits administration Good research and analysis skills High level of organization and time management. Comfortable working both independently and as part of a team, with strong ability to manage competing priorities and meet deadlines Proficiency in Microsoft Office Suite, especially Excel. Must have good interpersonal skills and consistently demonstrate effective decision-making abilities Flexible, adaptable, detail-oriented, and self-motivated
Additional Requirements:
Must pass WI BID and other background checks upon hire. Completion of E-Verify process
Education:
Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred. Will consider experience and/or certification in lieu of a formal degree program.
