Job Description
Payroll Assistant The payroll assistant is responsible for managing all aspects of payroll processing, payroll reporting, and accounts payable functions. This role ensures accurate and timely payroll, compliance with federal and state labor laws (including prevailing wage requirements), and efficient processing of vendor invoices and payments. Must have a minimum of two (2) years of payroll experience and administrative experience. Responsibilities
- Prepare and submit certified payroll through DIR, eMars, LCPtracker, and similar platforms
- Ensure compliance with prevailing wage, Davis‑Bacon, STW, and apprenticeship requirements
- Verify classifications, wage rates, fringe benefits, and overtime accuracy
- Track STW percentages and apprentice utilization across projects
- Maintain organized, audit‑ready documentation
- Support accounts payable, vendor setup, reconciliations, and general finance administration
- Assist with audits and special projects
- Process vendor invoices and ensure proper coding and approvals
- Prepare and process check runs, ACH, and wire payments
- Reconcile vendor statements and resolve discrepancies
- Assist with month-end closing and general ledger reconciliations
- Provide general administrative support to the team
- Maintain organized digital filing systems
- Assist with contract documentation and project compliance records
- Support HR-related documentation and onboarding paperwork
- Assist with audits (Work Comp, General Liability, Union) Qualifications
- Minimum of two (2) years payroll and administrative experience
- Experience with certified payroll or public works compliance
- Strong attention to detail and love for accuracy
- Knowledge of prevailing wage, Davis‑Bacon, and payroll systems
- Proficiency with accounting software, Excel, and digital filing systems
- Strong attention to detail, confidentiality, and accuracy
- Ability to manage deadlines and multiple projects
- A positive, collaborative attitude
- Familiarity with DIR/eMars/LCPtracker is a plus
- Verifiable high skill level in Excel
- Exceptional communication skills both written and verbal
- An Accounting Degree or Certification
