We are seeking a dynamic and highly organized Administrator Assitant to join our team! This vital role ensures the smooth and efficient operation of our office environment by managing areas of Accounting, Payroll, New Hires, Compliance and support of the Management Team. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. Bilingual abilities are a plus to assist diverse client and team interactions. Position Summary:
The Administrator Assistant provides support to all departments in Payroll, Accounting, New Hires Compliance and other projects. This position reports directly to the General Manager and is essential to the successful growth and operations of San Jose Municipal Golf Course. Duties Process Bi-weekly payroll (Mondays) Review employee time records and document and -track accordingly Assist Department Managers with new hire process. File statements and invoices; keep confidential payroll and personnel information. Distribute invoices to appropriate management approval and assist with processing to Accounting Maintain Employee Files Coordinate Payroll Compliance Tracking Organize and maintain office space and office supplies Assist the General Manager with projects tasks as needed. Qualifications Proven experience in office administration or clerical roles with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook), or similar accounting software, ADP Payroll experience a plus! Excellent computer literacy with the ability to learn new software quickly Strong typing skills with high accuracy; experience with data entry and proofreading preferred Exceptional customer service skills with a professional phone manner; experience with multi-line phone systems is highly desirable Bilingual abilities to communicate effectively with diverse clients and team members are a plus Ability to manage time efficiently in a fast-paced environment while prioritizing tasks effectively Join us as an Administrator Assistant to be the backbone of our organization—driving efficiency, supporting our team members, and delivering outstanding service every day!
