Job Description
Position Summary:
The Part-Time Payroll Clerk is responsible for the accurate and timely processing of weekly and bi-weekly payrolls while ensuring compliance with all applicable federal, state, and local regulations. This role partners closely with the Accounting and Human Resources departments to support payroll operations and maintain accurate employee records. This is an in-person, part-time (20-25 hours) position, based in our Irvine or Santa Monica Office. Monday through Friday from 9:00 a.m. to 1:00 p.m. Weekly hours may vary based on business needs and workload.
Responsibilities and Essential Functions:
Prepare and process weekly and bi-weekly payrolls. Review, audit, and reconcile employee timecards with managers to resolve discrepancies prior to payroll processing. Verify employee hours worked, wage rates, overtime, bonuses, deductions, and other payroll adjustments to ensure accurate pay. Process payroll calculations, including regular wages, overtime, bonuses, retroactive pay, garnishments, benefit deductions, and other required adjustments. Ensure compliance with all federal, state, and local payroll tax laws, wage and hour regulations, and company policies. Calculate and process payroll deductions, including taxes, benefits, retirement contributions, wage garnishments, and other voluntary or involuntary deductions. Prepare, process, and assist with required payroll tax filings and year-end reporting, including W-2s, 1099s, 1095-Cs, and other applicable federal and state filings. Assist with annual payroll audits, retirement plan audits, benefit reconciliations, and employee census reporting. Partner with Human Resources to ensure employee data is updated and maintained accurately for new hires, promotions, compensation changes, benefits, leaves of absence, and terminations. Develop, maintain, and continuously improve payroll procedures and internal controls to increase efficiency and accuracy. Stay current on payroll legislation, tax regulations, and best practices, implementing process changes as necessary. Perform regular payroll audits to identify and resolve discrepancies before and after payroll processing. Reconcile payroll accounts, prepare payroll-related journal entries, and support month-end and year-end accounting close processes. Respond promptly to employee inquiries regarding payroll, tax withholding, direct deposit, deductions, and paycheck discrepancies. Support implementation of payroll-related projects, system upgrades, testing, and process improvements. Perform other duties and special projects as assigned.
Bachelor's Degree in Accounting, Business Administration, or related field 3+ years of payroll processing experience Experience with payroll software ADP Workforce Now (required) Strong knowledge of federal and state payroll requirements, payroll accounting principles, and tax regulations Strong Knowledge of California wage and hour compliance Proficiency in Microsoft Office (Excel) Clear and effective communication skills for collaborating with employees, HR, and external vendors/agencies Excellent attention to detail/ high degree of accuracy in data management and reporting Ability to prioritize tasks in a fast-paced environment
Compensation:
The expected hourly range for this role is $25.00-$35.00 based on experience.
