Compensation:
Approximately $29.98 - $40.00 per hour. All individual pay rates are calculated based on the candidate's experience and internal equity.
Overview of Role:
The Leave Administrator is responsible for administering, tracking, and coordinating all employee leave of absence cases in compliance with federal, state, and organizational requirements. This role serves as the internal subject-matter expert for
FMLA, FAMLI, ADA
accommodations, long-term disability, military leave, workers compensation and other statutory or organizational leave programs. The Leave Administrator works closely with third-party vendors, Payroll, Benefits, managers, and employees to ensure leave is administered accurately, consistently, and in compliance with applicable laws. This position requires strong systems aptitude, particularly within UKG, as well as a solid understanding of employment and leave laws, payroll impacts, and benefit premium reconciliation. The Leave Administrator plays a critical role in ensuring accurate timekeeping, pay, benefits continuation, and return-to-work processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administers employee leave programs including
FMLA, FAMLI, ADA
accommodations, long-term disability, military leave, workers compensation lost time and other statutory or organizational leave programs. Provides employees and managers with guidance regarding leave rights, responsibilities, and available benefits. Coordinates required documentation including medical certifications, return-to-work releases, and accommodation requests. Serve as the primary internal liaison with third-party leave vendors, supplying required reports, data, and documentation to support leave determinations and ongoing case management. Maintain working knowledge of applicable state and federal leave laws, ensuring organizational practices remain compliant. Ensure leave decisions and processes are applied consistently and documented accurately. Maintain and optimize the leave and absence modules within UKG, ensuring accuracy of leave balances, eligibility tracking, and system configurations. Partner with employees and managers to ensure weekly timecards accurately reflect approved leave time and monitor leave coding to identify and resolve discrepancies that could impact payroll, compliance, or employee benefits. Ensure payroll processing accurately reflects leave usage and aligns with vendor determinations and internal records. Build, run, and analyze reports related to leave usage, balances, payroll impacts, and compliance needs. Coordinate closely with the Benefits team to ensure employee benefit premiums are accurately managed during leaves of absence. Support benefit premium reconciliation, including tracking missed deductions during leave and partner with benefits and payroll to ensure correct deductions upon return to work. Assist with reinstatement of benefits and payroll deductions following an employee's return from leave. Serve as a knowledgeable point of contact for employees and managers regarding leave processes, timekeeping expectations, and benefit impacts. Communicate clearly and professionally with employees during sensitive situations involving medical or family-related leaves. Support managers in understanding their role in leave administration while maintaining compliance and consistency. Identify opportunities to improve leave administration workflows, system efficiency, and cross-functional coordination. Maintain clear, audit-ready documentation related to leave cases, payroll adjustments, and benefit reconciliation. Support internal audits, compliance reviews, and reporting requirements as needed.
POSITION QUALIFICATIONS
Education and Experience:
Education:
Bachelor's degree in human resources, or a related field preferred. Equivalent experience may be considered. At least three years' experience in leave administration, payroll or benefits administration. Experience coordinating leave administration with third-party vendors. Experience in healthcare, multi-site organizations strongly preferred. Strong experience working with HRIS systems, preferably UKG, including maintaining modules, running reports, and troubleshooting system issues. Understanding of payroll processes and how leave impacts pay, timekeeping, and benefits.
Knowledge, Skills and Abilities:
Demonstrated working knowledge of FMLA, FAMLI, ADA, and statutory leave programs. Able to organize and prioritize workload. Strong analytical skills and attend to detail. Ability to interact with staff at all levels of the organization. Exceptional computer knowledge including familiarity with the UKG, Office365 products, and the internet. Ability to maintain a professional demeanor in all situations. High attention to detail and strong organizational skills. Ability to handle confidential and sensitive information with discretion. Strong communication skills with the ability to explain complex processes in plain language.
