Job Summary The Payroll Specialist is responsible for the accurate and timely processing of payroll for all employees using ADP Workforce Now (or ADP Run) and AxisCare, our home care management software. This role serves as the primary liaison between field operations and finance, ensuring that caregiver hours, visit data, and compensation records are reconciled and processed in compliance with federal, state, and local regulations. Responsibilities Payroll Processing Process bi-weekly or weekly payroll for hourly caregivers and salaried staff using ADP Export and reconcile caregiver visit data and approved hours from AxisCare into ADP prior to each pay run Audit Electronic Visit Verification (EVV) records in AxisCare to ensure accurate time and attendance data Review and resolve discrepancies between AxisCare schedules and actual visit records before payroll closes Process manual check requests, off-cycle payrolls, and corrections as needed Ensure proper handling of overtime, shift differentials, and holiday pay per company policy ADP Administration Maintain employee profiles in ADP, including new hires, terminations, pay rate changes, and direct deposit information Set up and manage tax withholdings, garnishments, levies, and voluntary deductions. Reconcile payroll registers and general ledger reports after each pay run Generate and distribute payroll reports to Finance and HR leadership Coordinate with ADP support to resolve system issues and stay current on platform updates AxisCare Administration Partner with scheduling and operations teams to ensure AxisCare caregiver records are accurate and up to date Review and approve timesheets and visit notes flagged for payroll review in AxisCare Run payroll export reports from AxisCare and map data fields to ADP import templates Troubleshoot EVV exceptions, GPS discrepancies, and missed clock-in/out events with field coordinators Compliance & Reporting Ensure payroll practices comply with FLSA, state wage and hour laws, and applicable home care regulations Assist with preparation and distribution of W-2s, 1099s, and year-end tax documents Support internal and external audits by providing payroll records and documentation Maintain strict confidentiality of employee compensation data Employee Support Respond to caregiver and staff inquiries regarding pay, deductions, and direct deposit in a timely and professional manner Train new employees and office staff on how to use AxisCare for time entry and schedule management Collaborate with HR on onboarding to ensure payroll setup is completed before the first pay date Qualifications 2+ years of payroll processing experience, preferably in home care, healthcare, or a similarly regulated industry Hands-on experience with ADP (Workforce Now, ADP Run, or equivalent ADP platform) Proficiency with AxisCare or demonstrated ability to quickly learn home care management software Strong understanding of payroll compliance, including overtime rules, garnishments, and tax withholding High attention to detail and accuracy in a deadline-driven environment Proficiency in Microsoft Excel (pivot tables, VLOOKUPs, data validation) Preferred Experience with EVV (Electronic Visit Verification) systems and state-mandated compliance requirements Knowledge of Medicaid billing and home care reimbursement models
