To Be Determined Job Description Sr. Payroll Specialist Position will be open until filled Job Summary The Payroll Specialist is responsible for assisting in the accurate and timely processing of payroll for all school district employees. The position ensures compliance with payroll regulations, maintains detailed payroll records, and provides excellent customer service to staff regarding payroll-related inquiries. The responsibilities listed below is not an exhaustive list of duties, and any omission of a specific responsibility does not exclude them from the position. Will be responsible for other payroll, accounting/finance duties as assigned. Supervisory Responsibilities None Responsibilities Payroll Processing & Support Assist in the preparation and processing of payroll for all school district employees, including salaried, hourly, and substitute staff. Enter and verify payroll data, such as hours worked, salary adjustments, benefits, and deductions. Process timecards, overtime, and other payroll-related transactions. Update monthly accrual records and process absence data to payroll system Compliance & Record-Keeping Ensure payroll calculations comply with federal, state, and local labor laws, as well as school district policies. Maintain accurate and organized payroll records, including pay stubs, tax forms, and direct deposit information. Assist in preparing payroll reports and filings, such as tax withholdings, retirement contributions, and wage garnishments. Update and maintain accrual records, resolving discrepancies Reconcile compliance reporting System Management & Data Integrity Enter and update employee payroll information in the payroll system. Assist with payroll audits and reconcile payroll discrepancies. Generate and distribute payroll reports as needed. Employee Support & Communication Respond to employee inquiries regarding payroll, deductions, benefits, and tax withholdings. Assist employees with payroll forms, direct deposit setup, and timesheet submissions. Work closely with HR and finance departments to ensure accuracy in employee compensation and benefits. Support employees with completing employer section of MTRS retirement and buy-back documents Required Skills/Abilities Maintain highest level of confidentiality Excellent verbal and written communication Excellent interpersonal and customer service skills Excellent organizational skills and attention to detail Ability to adapt, plan, and organize various competing priorities Computer software proficiency such as MS Office Suite, Google Suite, Munis, Aspen, and absence management system Knowledge about and monitor compliance with federal labor laws including FMLA Understanding of collective bargaining agreements and union payroll processing Ability to work both independently and as part of a team in a fast paced environment with the ability to prioritize and problem solve Education and Experience Bachelor's degree or equivalent experience 3-5 years of payroll experience, preferably in school district/public sector Certified Payroll Professional (CPP) or similar certification, preferred Strong knowledge of payroll regulations, labor laws, tax compliance Experience with payroll software, experience with Munis highly desirable Familiarity with public school funding and budget constraints Work Environment Prolonged period of sitting at a desk and working on a computer Fast paced environment requiring prioritization of work/projects and frequent pivoting Frequent collaboration with stakeholders The nature of this position may require hours beyond the regular school day.
