Job Description

Job Summary We are seeking a detail-oriented and organized Accounting & Payroll Specialist to join our team. The ideal candidate will have experience managing payroll processes, accounts receivable, and accounts payable functions while ensuring accuracy, compliance, and timely financial reporting. Duties Process bi-weekly payroll accurately and on schedule. Maintain employee payroll records and ensure compliance with federal, state, and local regulations. Process payroll deductions, garnishments, benefits, and tax withholdings Respond to employee payroll inquiries and resolve discrepancies. Process incoming invoices, ensuring that all charges are valid and that proper approvals are obtained before payment is made. Review and verify payment terms, vendor details, and reconciliation of payment histories. Handle electronic transactions and ensure timely and accurate payments to vendors. Help prepare and process payment runs and ensure payments are accurately recorded in the system. Maintain detailed and organized records of transactions, invoices, and payments. Resolve any vendor inquiries or discrepancies regarding outstanding payments. Process cash receipts and apply payments to customer accounts, ensuring all transactions are recorded properly. Reconcile and maintain customer accounts and payment histories. Assist in resolving payment discrepancies and customer inquiries related to billing and payments. Assist in month-end and year-end closing procedures, including account reconciliation. Ensure compliance with company policies, internal controls, and accounting standards. Provide support for audits and reporting as needed. Other duties as assigned Experience Associate's degree in Accounting, Finance, or related field (preferred). 2+ years of experience in Payroll, Accounts Payable, Accounts Receivable, or a related role preferred. Strong knowledge of accounting principles and practices. Proficiency in accounting software and Microsoft Excel. Proficiency in Trimble/Viewpoint Vista software a plus. Strong attention to detail and accuracy in data entry and record keeping. Excellent communication skills to interact effectively with clients and team members. Ability to work independently as well as part of a team in a fast-paced environment.
