In this role, you will be responsible for managing multi-state payroll for approximately 1,000 employees, ensuring compliance with all federal, state, and local regulations. Additionally, you will oversee benefits and retirement plan administration while delivering exceptional service to employees.
Responsibilities:
Process full-cycle, multi-state payroll on a biweekly schedule, ensuring accuracy and compliance with relevant laws. Maintain accurate payroll records, including earnings, deductions, and tax data, while resolving discrepancies promptly. Administer payroll tax processes, such as withholding, reporting, and remittance, and manage year-end filings including W-2s. Ensure compliance with complex state regulations, including California wage and hour laws, and support internal and external audits. Oversee employee benefits programs, including health, dental, vision, life insurance, and leave programs, processing changes as needed. Administer the company's 401(k) plan, managing enrollments, contributions, loans, and distributions to ensure compliance. Reconcile payroll and benefits data, including general ledger entries and invoices, identifying and correcting discrepancies. Generate detailed payroll and benefits reports to support management and finance teams in decision-making. Coordinate annual nondiscrimination testing and audits for retirement plans in partnership with plan providers. Handle payroll-related inquiries from employees, providing timely and accurate resolutions. Bachelor's degree in Accounting, Finance, Human Resources, or related field, or equivalent experience. Minimum of 3-5 years of experience managing payroll in a multi-state environment. Strong understanding of payroll laws and regulations, with expertise in California compliance. Proficiency in payroll systems, preferably ADP Workforce Now, and advanced Microsoft Excel skills. Exceptional attention to detail, accuracy, and the ability to manage sensitive information confidentially. Strong organizational and problem-solving skills, with a proven ability to meet deadlines in fast-paced settings. Excellent written and verbal communication skills, with a focus on providing outstanding customer service. Certified Payroll detail oriented (CPP) designation or experience with benefits administration platforms is a plus.
