Job Description

About the Role Pollard CPA is a growing accounting and CFO-services firm looking for a driven, personable, and experienced Tax & Payroll Administrator to join our team. This is a unique hybrid-schedule position — part-time during the off-season and full-time during tax season — making it a great fit for someone who thrives in a fast-paced environment and wants to grow with a firm that values initiative and strong client relationships.     Part-time hours; focus on year-round client accounts and supporting firm projects January
  • April (Tax Season): Full-time hours; expanded responsibilities managing client communication and tax season operations What You will Be Doing Year-Round Responsibilities Serve as a primary point of contact for clients — answering questions, providing updates, and managing expectations (volume increases significantly during tax season) Manage and maintain client pipelines in TaxDome , keeping statuses accurate and communication flowing year-round Advocate for clients internally — make sure their concerns are heard and addressed promptly Handle difficult or anxious client conversations with professionalism and confidence Process payroll and prepare payroll reports for a dedicated set of clients Prepare and file sales tax reports on a recurring schedule Assist with miscellaneous firm projects during off-season part-time hours Maintain organized, accurate records and stay ahead of deadlines During Tax Season (January•April), the pace picks up significantly: Step into a full-time role as the operational hub of tax season client communication Coordinate the full client flow: chasing missing documents, flagging bottlenecks, and keeping everything on track through filing Manage a higher volume of client interactions, pipeline updates, and internal coordination across all active returns
Who You Are Experienced:
You've worked in an accounting, tax, or professional services environment and know how things run A strong communicator: You write clearly, speak confidently, and never leave a client wondering what's going on Client-facing and composed: You can hold your own in tough conversations, de-escalate when needed, and follow through on what you say
Self-motivated:
You don't wait to be told — you see what needs to be done and you do it Organized under pressure: Tax season is busy. You stay cool, stay accurate, and keep things moving A people person: You genuinely enjoy working with clients and being their go-to source of information Requirements 1+ years of experience in an accounting, tax, or professional services office Experience with payroll processing and sales tax reporting (or strong willingness to learn quickly) Strong written and verbal communication skills Comfortable with client-facing conversations, including difficult ones Ability to manage multiple clients and deadlines simultaneously Experience with TaxDome, QuickBooks, or similar platforms a plus Why Pollard CPA Work with a close-knit, professional team that takes client service seriously Gain broad exposure to accounting, tax, and business advisory work Schedule that gives you breathing room in the off-season with meaningful full-time engagement during tax season Room to grow with a firm that rewards initiative
