Job Overview As a Payroll Specialist, you will be responsible for end-to-end payroll processing for multiple client accounts. You will ensure accurate and timely payroll in accordance with relevant laws and guidelines. This role requires strong analytical skills, attention to detail, and a customer-focused approach. Payroll Processing & Client Management Process payroll for multiple clients across various industries on weekly, bi-weekly, semi-monthly, and monthly schedules Collect, review, and validate payroll data including hours, wages, bonuses, commissions, and deductions Ensure timely and accurate payroll submission, including direct deposits and check processing Serve as primary point of contact for client payroll-related inquiries Compliance & Regulatory Expertise Maintain up-to-date knowledge of federal, North Dakota , and Minnesota payroll laws and regulations Ensure compliance with wage and hour laws, overtime rules, and state-specific requirements Manage registration and compliance for employer payroll accounts in ND and MN Monitor changes in payroll tax laws and implement updates as needed Tax Filings & Reporting Prepare and file federal and state payroll tax returns (e.g., Forms 941, 940, ND/MN withholding returns) Process and reconcile payroll-related liabilities and payments Prepare year-end reporting including W-2s, 1099s, and related filings Ensure accurate unemployment insurance (UI) and workers' compensation reporting Recordkeeping & Reconciliation Maintain accurate payroll records and documentation for all clients Perform payroll reconciliations and resolve discrepancies Assist with audits by providing payroll documentation and support Systems & Process Improvement Utilize payroll systems and accounting software efficiently (e.g., QuickBooks, ADP, Gusto, or similar) Identify opportunities to improve payroll workflows and enhance accuracy and efficiency Assist in onboarding new payroll clients and setting up payroll systems Required Qualifications 2+ years of payroll processing experience, preferably in a public accounting or multi-client environment Strong knowledge of payroll tax regulations and compliance requirements Specific experience with North Dakota and/or Minnesota payroll laws strongly preferred High attention to detail and accuracy Strong organizational and time management skills Excellent client service and communication skills Proficiency in Microsoft Excel and payroll software Preferred Qualifications Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) Experience with multi-state payroll processing Familiarity with benefits administration, garnishments, and deductions Experience handling payroll audits or agency correspondence Key Competencies Accuracy and attention to detail Accountability and reliability Problem-solving and critical thinking Confidentiality and data security awareness Ability to manage multiple deadlines and client priorities
