Job Description

Job Overview The Payroll Administrator is responsible for the supporting the weekly payroll process by collecting, verifying, and entering employee time and pay data, ensuring accuracy, compliance, timely submission, and other office administrative responsibilities. This role plays a critical part in maintaining payroll integrity across multiple projects, including certified payroll reporting and compliance with applicable labor regulations (including IRA requirements). Key Responsibilities Payroll Processing Support Collect, review, and verify employee timecards, pay stubs, and job coding information on a weekly basis. Enter and reconcile payroll data within Foundations (or applicable accounting system) Ensure all time entries are accurate, approved and complete prior to processing deadlines Identify and resolve discrepancies in time, pay rates, or job allocations. Prepare and submit finalized payroll data to the Payroll/HR Manager by Wednesday morning each week. Coordination & Workflow Management Work closely with field supervisors and project managers to ensure timely submission and approval of timecards. Follow up on missing or incomplete time entries to meet strict payroll deadlines. Maintain organized payroll records and documentation for audit and compliance purposes. Certified Payroll & Compliance Prepare and update weekly certified payroll reports for applicable projects. Ensure all certified payroll documentation is accurate and submitted to the HR Manager for approval. Support compliance with federal, state and local labor regulations, including prevailing wage requirements. Assist with tracking and maintaining documentation required for audits. IRA & Regulatory Compliance Support Assist Payroll Manager in tracking and calculating IRA (Inflation Reduction Act) compliance requirements Maintain accurate records related to labor classifications, wages, and benefits tied to compliance standards. Support reporting and documentation needed for compliance verification. Post-Payroll Responsibilities Verify payroll data after processing for accuracy Assist with corrections, adjustments, and payroll-related inquiries Maintain payroll logs, reports and supporting documentation
Qualifications Required:
1-3 years of payroll, accounting, or administrative experience Strong attention to detail and accuracy Ability to manage deadlines in a fast-paced, weekly payroll cycle Proficiency in Microsoft Excell and general computer systems Strong organizational and communication skills
Preferred:
Experience in construction payroll or job costing Experience with certified payroll and prevailing wage reporting Knowledge of payroll compliance regulations (federal/state) Exposure to IRA compliance requirements (or willingness to learn) Key Competencies High Level of accuracy and accountability Strong time management and follow-through Problem-solving mindset with the ability to identify discrepancies Ability to work independently while coordinating with mulitiple teams Confidentiality and professionalism when handling sensitive information Work Schedule & Expectations Weekly payroll cycle with critical deadlines (Monday -Wednesday focus) Must be available to ensure payroll data is finalized and submitted by Wednesday morning Occasional additional hours may be required during peak periods or audits Integrated Power Co is an equal opportunity employer. $20.00 - $25.00 per hour
