www.shipco.com) Shipco Transport Inc., a leading international cargo transportation company, has an immediate opening at our AMRO branch located in Hoboken, NJ, for an experienced Payroll Specialist . We are seeking a Payroll Specialist with specialized experience in payroll administration, specifically with ADP WorkforceNow software management. The ideal candidate will be responsible for managing all payroll functions, ensuring accuracy and compliance with relevant state and Federal regulations, while also supporting broader HR operations. This role will require extensive expertise in ADP to ensure seamless payroll processing and reporting. Key Responsibilities ADP Payroll Processing:
Process bi-weekly and weekly payroll using ADP WorkforceNow, ensuring all data is entered accurately (hours worked, overtime, deductions, and bonuses, terminations, new hires). Payroll Reconciliation:
Perform payroll reconciliations, ensuring payroll balances with GL entries and assist with accounting reconciliations for tax and benefit deductions. Tax Filing:
Ensure accurate and timely tax filing for federal, state, and local payroll taxes, including payroll tax deposits and filings with the IRS and state agencies. Wages & Deductions:
Manage employee wage processing, including handling garnishments, wage adjustments, and tax deductions in compliance with applicable laws. Payroll Corrections & Adjustments:
Handle payroll discrepancies, correcting errors and ensuring any adjustments are processed timely and accurately. Direct Deposits:
Ensure proper setup and distribution of direct deposits, and pay stubs in ADP. ADP
Integration:
Maintain and configure the ADP system, ensuring employee data is accurately reflected and integrated across HRIS, payroll, and benefits modules. Reporting:
Generate standard and custom payroll reports from ADP for management, including tax reports, benefit enrollments, and turnover reports. Compliance and System Updates:
Ensure the ADP system is kept up to date with regulatory changes, including tax tables and benefits laws, to remain compliant. Troubleshooting:
Act as the primary point of contact for any ADP system issues, working with the ADP support team to resolve any payroll-related issues or errors in a timely manner. Training and Support :
Provide training and guidance to employees and managers on using ADP for timekeeping, payroll inquiries, and reporting. Maintain employee payroll and HR records , ensuring all documentation is accurate, up-to-date, and compliant with company policies and legal regulations. Coordinate benefits enrollment and changes within the ADP system, ensuring smooth integration with payroll deductions. Manage employee compensation and leave tracking, ensuring payroll reflects accurate time-off balances (vacation, sick, personal days). Stay current with federal, state, and local labor laws, ensuring payroll processing adheres to legal requirements and company policies. Employee Communication:
Address employee inquiries related to pay, deductions, benefits, and leave balances, providing prompt and professional responses. Other HR Responsibilities Onboarding/Offboarding:
Administer employee onboarding and offboarding procedures, including entering new hires and terminations into the ADP system for payroll setup. Timekeeping:
Ensure timekeeping records are accurate, working with branch/ GMs/department managers to resolve any discrepancies. Audit Support:
Assist with internal and external audits related to payroll and HR processes. Payroll-related Training:
Provide training to employees on ADP's self-service tools for managing time-off requests, pay stubs, and other payroll-related activities. Skills, Knowledge and Expertise Bachelor's degree in accounting, Finance, and or Human Resources Minimum of 3+ years of experience processing payroll using ADP (Workforce Now, Comp Services, or other ADP platforms). Strong understanding of state-specific payroll laws, tax regulations, and federal and state compliance requirements. Excellent attention to detail and problem-solving skills. Strong organizational and time-management abilities. Advanced proficiency in Microsoft Excel. Strong communication and interpersonal skills.
