Job Description
Position Summary The Payroll Specialist is responsible for managing end-to-end payroll processing and ensuring compliance with applicable wage laws, union agreements, and company policies. This role partners with internal teams and external stakeholders to ensure accurate payroll execution, reporting, and recordkeeping across a multi-entity environment. Key Responsibilities Payroll Processing & Compliance Process weekly payroll across multiple entities using payroll systems such as ADP Workforce Now and other ERP platforms. Review payroll data for accuracy and compliance with collective bargaining agreements, state wage laws, and internal policies. Submit finalized payroll after validating all adjustments, reports, and supporting documentation. Generate and distribute certified payroll reports for prevailing wage projects. Manage union fringe benefit reporting, including maintaining accurate rate tables and deductions. Partner with operations and project teams to reconcile job hours, pay rates, and cost allocations prior to payroll submission. Employee Records & Onboarding Support onboarding by ensuring accurate setup of employee profiles, tax elections, and union affiliations within payroll systems. Maintain up-to-date payroll records, including wage rates and employee classifications. Process employee lifecycle changes such as transfers, pay adjustments, deductions, and terminations. Reporting & Cross-Functional Support Prepare and distribute recurring payroll reports to leadership, finance, and operational teams. Act as a liaison with union representatives to stay current on agreements, benefits, and compliance requirements. Support audits, reconciliations, and documentation related to payroll compliance. Qualifications Bachelor's degree in Accounting, Business Administration, Human Resources, or equivalent experience. 3–5 years of payroll experience; experience in unionized environments (e.g., construction, transportation) preferred. Hands-on experience with ADP Workforce Now required; experience with additional payroll or ERP systems is a plus. Knowledge of certified payroll, prevailing wage regulations, and union reporting preferred. Strong analytical, organizational, and problem-solving skills. High level of accuracy and discretion when handling confidential information. Intermediate Microsoft Excel skills (e.g., Pivot Tables, VLOOKUP) and proficiency in Microsoft Office applications. Ability to manage multiple priorities and meet deadlines with minimal supervision. #
