Full-Time | Primarily Onsite (Hybrid flexibility available based on business needs) About the Opportunity A growing multi-state organization is seeking a Payroll Specialist to join its HR Operations team. This role is responsible for ensuring accurate and timely payroll processing while supporting payroll administration, reporting, compliance, reconciliations, and employee data management. We're looking for a detail-oriented professional who enjoys owning processes, solving problems, and contributing beyond transactional payroll processing. This position offers the opportunity to play a key role in supporting a rapidly growing organization with employees across multiple states and business units. Key Responsibilities Payroll Processing Process weekly payroll accurately and on schedule using HRIS/payroll systems. Review timecards, deductions, earnings, commissions, bonuses, and PTO balances for accuracy. Research and resolve payroll discrepancies with managers and employees. Support off-cycle payrolls, final pay calculations, and special payment requests. Ensure compliance with federal, state, and local payroll regulations. Payroll Administration & Employee Data Maintain employee records, compensation changes, deductions, tax updates, and employment status changes within the HRIS system. Partner with Human Resources to ensure accurate employee data throughout the employee lifecycle. Conduct regular audits of employee and payroll records. Support benefit deduction audits and payroll-related employee inquiries. Reporting, Reconciliations & Compliance Prepare payroll reports for Finance, HR, and leadership teams. Perform payroll reconciliations and assist with month-end and quarter-end processes. Reconcile payroll-related benefits, deductions, and employer contributions. Support year-end payroll activities, including W-2 preparation and reporting. Identify opportunities to improve payroll processes, controls, and efficiencies. Team Collaboration Serve as a backup resource for payroll operations. Collaborate with Finance, HR, Benefits, and operational leaders to ensure payroll accuracy. Assist with special projects, audits, and payroll system enhancements as needed. Qualifications 3+ years of payroll experience, preferably in a multi-state environment. Experience with HRIS/payroll platforms. Strong understanding of payroll regulations, wage and hour laws, and compliance requirements. Experience performing payroll reconciliations and payroll reporting. Proficiency in Microsoft Excel and payroll data analysis. Exceptional attention to detail and organizational skills. Ability to manage recurring deadlines while maintaining accuracy. Strong communication skills and a customer-service mindset. Construction, home services, or commission-based payroll experience is a plus. What Success Looks Like The ideal candidate is someone who: Takes ownership of payroll accuracy and compliance.
