Job Description

We are seeking a detail-oriented and highly organized Payroll Specialist to manage end-to-end payroll processing for our multi-entity manufacturing, engineering and construction organization across the United States and Canada. This role ensures accurate, timely, and compliant payroll operations for both salaried and hourly employees while maintaining strict confidentiality and providing excellent internal service. internal service. Key Responsibilities Process full-cycle payroll for US and Canadian hourly and salaried employees on weekly and bi-weekly cycles. Ensure compliance with federal, state, provincial, and local payroll laws and regulations. Maintain and update employee payroll records, including earnings, deductions, taxes, and benefits. Calculate wages, overtime, bonuses, commissions, and retroactive pay adjustments. Reconcile payroll registers, tax filings, and benefit deductions; investigate and resolve discrepancies promptly. Coordinate closely with HR and Finance on onboarding, offboarding, employee changes, and inter-company allocations. Assist with internal and external audits (e.g., IRS, CRA, state/provincial agencies) by preparing required payroll documentation. Respond to employee inquiries regarding payroll, taxes, and deductions. Monitor legislative changes and recommend process updates to ensure ongoing compliance and efficiency. Other duties as assigned Qualifications Bachelor's degree in Accounting, Finance, Human Resources, or related field (or equivalent experience). 3+ years of payroll processing experience, including both US and Canadian payroll. Strong knowledge of payroll laws and regulations in the US and Canada. Experience with payroll systems (e.g., ADP, REI, Payworks or similar). Proficiency in Microsoft Excel and payroll reporting tools. High level of accuracy, attention to detail, and confidentiality. Excellent organizational, problem-solving, and communication skills. Experience integrating payroll with ERP or job-costing systems is an asset. Preferred Qualifications Certified Payroll Professional (CPP) or Canadian Payroll Certification (PCP/PLP). Experience with multi-state and multi-province payroll processing. Familiarity with HRIS and accounting systems integration. Experience in a fast-paced, multi-entity organization.
