POSITION TITLE
Clerk, Payroll - Operational
JOB DESCRIPTION
Primary Purpose:
To assist in the administration of the payroll functions of the district in a manner that preserves confidentiality and projects a professional image of the department.
RESPONSIBILITIES
Major Responsibilities and Duties:
Perform all job duties in a confidential and responsible manner, demonstrating good judgment. Respond to general employee inquires and further direct specific inquires to appropriate staff. Process departmental mail. Process timecards/timesheets. Scan departmental documents. Ensure accuracy of attendance records (UKG) for all employees for compliance with Federal Wage and Hour Laws. Assist Payroll Specialist-Operational with the processing of payroll. Maintain records per the District's record retention schedule. Maintain overpayment spreadsheet and issue overpayment letters. Process and review bus trip information. Assist with the training of all campus and departmental staff responsible for time keeping procedures. Assist Specialist-Operations will the calculation for service records. Serve as back up in the absence of other departmental staff. Maintain confidentiality of department information. Attendance at work is an essential function. Perform other duties as assigned by the Payroll Coordinator or designee.
EXPERIENCE
Minimum Experience:
Accounts payable experience preferred
QUALIFICATIONS
Minimum Education/Certification/Minimum Experience:
High school diploma 15 credited college hours or three years of experience as a secretary or similar office experience preferred
Special Knowledge/Skills:
Knowledge of payroll and accounting procedures including federal and state laws pertaining to the process Exceptional computer skills Knowledge of Federal Wage and Hour laws. Ability to exercise independent decision making Ability to stay informed of new rules and regulations as relating to the payroll function Ability to communicate effectively and courteously with district personnel
OTHER INFORMATION
Equipment Used:
Computer for specialized data entry, word processing, spreadsheet applications, printer, typewriter, copy machine, calculator, telephone, check sealer/mailer.
Working Conditions:
Physical Demands/Environmental Factors:
Heavy lifting and carrying (under 15 pounds), use of fingers, walking, specific visual requirements (using computer), specific hearing requirements (telephone conversations). Excessive noise (burster), unusual fatigue factors (constant concentration, data entry).
