The Payroll Tax Assistant is responsible for assisting with the preparation, reconciliation, and submission of payroll tax data for a multi-location quick service restaurant organization. This role ensures compliance with all payroll tax laws and supports the payroll team in maintaining accurate employee and tax records. The ideal candidate is detail-oriented, organized, and familiar with the unique payroll challenges of the QSR sector, such as high employee turnover, tip reporting, and multi-state taxation.

HERE'S WHAT YOU WILL BE DOING
As an integral member of the Team, this position is responsible for:
  • Assist in satisfying the balancing for payroll tax filings for federal, state, and local jurisdictions. This includes quarterly and annual payroll tax reports (Forms 941, 940, W-2, and W-3).
  • Reconcile the general ledger accounts for the payroll tax liabilities and payments. Research of Open Items on Tax GL Reconciliations
  • Maintain and save files for tax notices, monthly and quarterly tax file submissions, annual employee W-2 statements, and annual IRS, Federal Unemployment, State Unemployment and State Tax Withholding submissions.
  • Work closely with the payroll team to assist with employee tax reporting adjustments, and verification of payroll tax deductions.
  • Assist in researching payroll tax discrepancies and notices from tax authorities.
  • Provide support during internal and external audits related to payroll and tax compliance.
  • Maintain confidentiality of employee and company payroll information.
  • Managing additional duties on an ad hoc basis.
HERE'S WHAT
Education & Experience
YOU WILL NEED
  • Associate's degree in accounting, Finance, or related field (bachelor's preferred).
  • 1-3 years of experience in payroll or payroll tax administration, preferably in the restaurant or hospitality industry.
  • Experience with payroll systems such as ADP, Paychex, or Workday.
  • Familiarity with multi-state payroll tax requirements and tip income reporting.
  • Strong analytical skills, attention to detail, and understanding of W-2, 940, and 941 form types.
  • Excellent attention to detail and organizational skills.
  • Proficiency in Microsoft Excel and accounting software.
  • Ability to manage multiple priorities and meet strict deadlines.
  • Strong communication and problem-solving skills.

$18.00 - $22.00 per hour
