This role involves compiling payroll data, calculating wages and deductions, and ensuring that employees are paid correctly and on time. The specialist also maintains payroll records, responds to payroll-related inquiries, assists with payroll validations and special payroll projects, and collaborates with human resources to manage employee benefits and other deductions. Additionally, this position requires staying current with payroll laws and regulations for US and Canada to ensure compliance with federal, state, local, and provincial guidelines.
RESPONSIBILITIES
Accurately process and manage payrolls for all employees in assigned paygroups, ensuring payroll checks are processed timely and error-free Verify and reconcile time and attendance records to ensure accurately calculated hours worked, including overtime and special pay rates Collaborate with HR to ensure employee records, including tax information, direct deposit details, earnings, and deductions are maintained and updated Process additional payroll earnings, such as bonuses, commissions, and reimbursement requests Stay up to date on federal, state, local, and provincial tax regulations to ensure compliance with withholding and reporting requirements for US and Canada Generate and distribute employee paychecks or electronic payments on scheduled pay dates Address employee inquiries and resolve payroll-related issues promptly and professionally Prepare and submit accurate payroll reports, tax filings, and year-end documents to relevant authorities Ensure accurate tracking and deduction of garnishments, child support, and other court-ordered payments Collaborate with the finance and accounting teams to reconcile payroll accounts and provide financial reports Ensure new hires, terminations, and changes in employee status are processed accurately in the payroll system Efficiently manage and monitor the ticketing system queue to ensure timely resolution of issues, while meeting all established Service Level Agreements (SLAs) Assist payroll leaders in validating payrolls to ensure accuracy, compliance, and the development or enhancements of process and procedures Assist with special payroll projects as needed Provide payroll training and support around payroll systems, reporting, and compliance Maintain strict confidentiality and data security of payroll and employee information Perform any additional duties as assigned by management.
QUALIFICATIONS
18 years of age or older Eligible to work in the United States Ability to work in office, onsite, Monday-Friday Must have a valid state-issued driver's license with an acceptable driving record Communicate effectively in English (reading, writing, speaking) Minimum of 5 years of experience in payroll processing; specifically, California and Unions In-depth knowledge of payroll systems, labor laws, and tax regulations Strong attention to detail and accuracy Excellent analytical and problem-solving skills Intermediate knowledge of Word, Excel, PowerPoint, Outlook Bilingual in English/Spanish a plus Effectively communicate with colleagues and clients, both in-person and through electronic means Pass a background check and drug screen Must be flexible to work extended hours on occasion to support our field operations To perform this job successfully, an individual must be able to perform each essential requirement satisfactorily.
