Flexible, with increased availability during payroll processing periods and onboarding cycles About Title IX Consulting Group Title IX Consulting Group (T9CG) is a national civil rights and compliance consulting firm supporting educational institutions, organizations, and legal teams in the areas of Title IX, Title VI, ADA/Section 504, Clery Act compliance, prevention education, investigations, institutional support, and expert services. As our organization continues to expand across multiple states, we are seeking an exceptionally detail-oriented and highly dependable Payroll & Multi-State Administrative Support Specialist to support payroll coordination, contractor administration, multi-state documentation management, and operational organization. Position Overview This role is heavily focused on organization, accuracy, payroll coordination, and multi-state administrative tracking. The ideal candidate is someone who takes pride in precision, consistency, follow-through, and maintaining highly organized systems. This position supports internal payroll and contractor administration processes, including maintaining organized records related to contractors and employees across multiple states, helping ensure documentation and administrative requirements remain current and properly tracked. The role will also support organization of payroll-related records that directly assist accounting and tax preparation processes. Preference will be given to candidates located in Northern Virginia or the surrounding DMV area. Important Note About This Role This is a detail-intensive position requiring a high level of accuracy, organization, discretion, and follow-through. We are specifically seeking someone who: Naturally notices missing details Maintains organized systems without constant oversight Is proactive about follow-up and deadlines Understands the importance of precision in payroll-related work Has experience supporting multi-state payroll environments Is highly dependable and responsive This is not a general executive assistant role, bookkeeping role, or entry-level administrative position. Key Responsibilities Assist with payroll preparation and coordination through Gusto Track multi-state contractor and employee administrative requirements Maintain organized payroll-related records by contractor, employee, and state Organize onboarding and payroll documentation, including W-9s, direct deposit forms, agreements, and related records Help monitor multi-state payroll notices, registration correspondence, and administrative deadlines Maintain internal tracking systems, spreadsheets, and payroll-related organizational records Support organization of payroll and contractor information for accounting and tax-related purposes Identify missing documentation or inconsistencies and proactively follow up Assist leadership with payroll-related administrative coordination and operational organization Required Qualifications Prior experience supporting multi-state payroll administration or coordination Strong organizational skills with exceptional attention to detail Experience working with payroll systems such as Gusto or similar platforms Ability to manage sensitive and confidential information professionally Strong written communication and follow-through Ability to work independently and maintain organized systems with minimal supervision Preferred Qualifications Experience supporting small businesses or growing organizations with contractors across multiple states Familiarity with payroll-related onboarding and contractor administration Experience organizing payroll records for accounting or tax preparation support Prior administrative operations or HR coordination experience Ideal Candidate The ideal candidate is: Extremely detail-oriented Highly organized Reliable and responsive Process-driven Calm under pressure Comfortable managing recurring deadlines and documentation Able to identify issues before they become problems Compensation Compensation will be based on experience and qualifications.
