We are seeking a detail-oriented Payroll Specialist to accurately manage payroll processing and ensure compliance with federal, state and local regulations. The ideal candidate will own end-to-end payroll operations, tax filings, reconciliations and year-end reporting while maintaining confidentiality and supporting payroll-related systems and integrations across multi-state operations. Key Responsibilities Process end-to-end payroll for salaried and hourly employees, including multi-state payroll and off-cycle runs Prepare and file federal payroll tax returns (941/940) and coordinate state tax filings and remittances Manage wage garnishments, child support withholdings and other mandated deductions Administer direct deposit and ACH payment processing and resolve payment exceptions Maintain and configure payroll systems and integrations (ADP, Ceridian, Kronos, Paychex, UKG/Ultipro, Workday, Oracle PeopleSoft, SAP SuccessFactors, Sage, NetSuite, QuickBooks) Perform regular payroll reconciliations and prepare payroll accounting entries to the General Ledger Maintain PTO accruals, time and attendance records, and conduct timecard review and approval workflows Prepare and support W-2, 1099 and year-end reporting processes; manage new hire reporting and termination reporting Support onboarding and offboarding processes as they relate to payroll and benefits administration Execute payroll audits, support SOX and internal control requirements, and maintain payroll documentation and confidentiality Respond to employee and management payroll inquiries and resolve discrepancies in a timely manner Assist with compensation administration and special payroll projects, including system implementations and upgrades Qualifications Associate or Bachelors degree in Accounting, Finance, Business Administration or related field preferred 3+ years of progressive payroll experience; experience with multi-state payroll strongly preferred Hands-on experience processing payroll and preparing federal (941/940) and state tax filings Proven experience with wage garnishments, direct deposit/ACH payments and payroll reconciliations Experience with one or more payroll/HCM systems such as ADP, Ceridian, Kronos, Paychex, UKG/Ultipro, Workday, Oracle PeopleSoft, SAP SuccessFactors, Sage, NetSuite or QuickBooks Solid payroll accounting knowledge and ability to prepare General Ledger entries Advanced Microsoft Excel skills including VLOOKUP, PivotTables and spreadsheet reconciliation Experience with
W-2, 1099
preparation, year-end reporting and new hire reporting Familiarity with SOX compliance, payroll audits and maintaining confidentiality of payroll data Strong attention to detail, organizational skills, and ability to meet tight deadlines Excellent communication and problem-solving skills; able to collaborate across HR, Finance and IT teams Professional payroll certification (CPP) or related credential is a plus
